Job Title:Event Coordinator and AdministrationLocation:Borris House, IrelandReports To:Management TeamOverview:As the Event Coordinator and General Administrator at Borris House, you will be one of the primary points of contact for couples planning their special day at our historic venue. This role involves occasional sales but mainly coordination responsibilities, ensuring a seamless and memorable experience for every couple. You will help oversee the event planning process, from initial inquiries to the final event, working closely with clients, staff, and suppliers to deliver exceptional service.Key ResponsibilitiesSales RoleClient Management:Help monitor and manage emails daily, responding promptly to inquiries and following up on leads.Arrange and conduct calls with couples to discuss their wedding plans and address any questions.Conduct occasional viewings of the venue, showcasing its features and facilities.Help follow up with couples post-viewing to address additional questions and secure bookings.Administrative Duties:Help arrange payment schedules for deposits and instalments, updating and sharing records with accounts.Help maintain and update the bookings calendar, distributing it to staff, chefs, and other relevant parties.Marketing Support:Collaborate with the marketing team, providing information for monthly campaigns and updates.Supplier Coordination:Book staff and suppliers for viewings and events, ensuring all logistics are arranged.After-Sales & Coordination RoleClient Support:Provide couples with necessary documentation, such as supplier lists, accommodation options, menus, and FAQs.Help respond to email inquiries and conduct phone calls to address queries in the lead-up to the wedding.Help arrange and oversee tasting evenings for couples, including RSVPs, dietary needs, and accommodation.Pre-Wedding Coordination:Organize virtual final meetings with couples 15 days before their wedding via Google Meet.Prepare and share checklists for final meetings, ensuring all required items are addressed.Compile and distribute wedding details, including accommodation allocation sheets, table plans, and specific requests (e.g., cocktail ingredients).Vendor and Staff Coordination:Help prepare detailed function sheets for staff, housekeeping, chefs, and other teams involved in the event.Send final wine choices to suppliers and coordinate delivery as needed.Communicate special requests or requirements to relevant teams, ensuring smooth execution.Financial Management:Help compile final invoices for couples based on the agreed arrangements and ensure all payments are received prior to check-in.Help provide copies of final invoices to the accounts team.Event Day Preparation:Occasionally help oversee setup, ensuring all agreed details are executed according to plan.Skills & QualificationsProven experience in event planning, or a similar role.Strong organizational skills with exceptional attention to detail.Excellent interpersonal and communication skills to build rapport with clients and vendors.Proficiency in using email, scheduling tools, and social media platforms.Ability to work under pressure, managing multiple events and deadlines.Flexibility to work weekends and evenings if required.A passion for delivering exceptional customer service.Additional DutiesContinuously improve processes and templates (e.g., FAQs, checklists) to enhance the client experience.Occasionally assist with on-the-day coordination if necessary, acting as a liaison between the client and staff.Stay updated on industry trends and best practices to ensure Borris House remains a top wedding destination.Salary:Competitive, based on experienceApplication Deadline:24thDecember 2025How to Apply:Please send your CV and cover letter to
