About the Executive Assistant Role

We are seeking a highly experienced and proactive Personal Assistant to support the Chief Executive Officer (CEO) of a leading Irish NGO. This is a pivotal role requiring a high level of discretion, initiative, and professionalism. The role will require someone who can build trust, anticipate needs, and add strategic value by enabling the CEO to focus on high-level priorities.

Key Responsibilities

· Provide comprehensive executive support to the CEO, including diary management, administrative support and meeting coordination.

· Prepare, proofread, and format high-quality reports, presentations, and correspondence.

· Manage and prioritise incoming communications (emails, calls, post), responding or redirecting as appropriate.

· Organise meetings, preparing meeting packs, attending and minuting meetings, and ensuring timely follow-up on action points.

· Coordinating internal and external events.

· Maintain confidential records and filing systems, both digital and physical.

· Liaise with internal and external stakeholders on behalf of the CEO.

· Support the wider EMT team with administrative tasks as required.

· Assist in the preparation of Board papers and governance documentation.

· Monitor deadlines and ensure the CEO is briefed and prepared for all engagements.

· Undertake ad hoc projects and tasks to support the effective running of the CEO’s office.

· Perform general administration and office management duties.

Person Specification

Essential Qualifications & Experience

· 5-10 years’ experience as a PA or Executive Assistant at C-suite level, preferably within the non-profit, public, or corporate sectors.

· Hold a relevant professional qualification

· Proven experience managing complex diaries and high volumes of communication.

· Demonstrable experience preparing professional documents and reports to a high standard.

· Experience working with confidential and sensitive information.

· Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively with stakeholders.

· Discretion, integrity, and a proactive, solutions-focused mindset.

· Strong business acumen.

· Exceptional attention to detail and organisational skills.

· Excellent written and verbal communication skills.

· Strong interpersonal skills with the ability to build trust quickly.

· Very high level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Microsoft Lists) and digital collaboration tools (e.g. Teams, SharePoint).

· High level of proficiency and comfort with IT systems (Salesforce, NetSuite, People First, CalQRisk, Soldo).

· Ability to work independently, exercise sound judgement, and manage competing priorities.

· Experience working in or with charitable or non-government organisations.

· Familiarity with governance processes and Board-level administration.

Hours : 37.5 p/w, office hours with some evening work required for attendance at meetings

Location: Smithfield, Dublin.Hybrid working.
