Job Opportunity: Facilities Coordinator
The role requires effective day-to-day operational management of facilities services.
We are seeking an individual with the ability to ensure all soft-service companies maintain relevant accreditations and licenses. Regular monitoring will also be required to address staffing issues and enhance employee engagement, minimizing turnover rates and associated disruptions.
Maintaining strong relationships with the Contracts Manager is crucial, involving consultation on key decisions and incidents reporting. The successful candidate will be responsible for managing and coordinating all soft-services contractors within our scope, including areas such as GMP equipment and non-GMP facilities.
All preventive maintenance tasks (PMs) and work orders must be completed on time in a safe and efficient manner. Comprehensive risk assessments, safe plans of action, and method statements should be implemented and adhered to at the workplace.
Frequent feedback on contractor performance, especially during contract reviews, will be provided. Identifying and completing critical work activities on schedule is essential, along with ensuring statutory inspections are planned and executed within agreed timelines.
Service levels should be effectively managed, providing technical support when needed, and communicating with clients regarding potential service or environmental impacts.
The successful candidate will be responsible for timely placement of purchase orders and obtaining quotations from contractors for all work activities. Ensuring quality systems are in place and actively participating in internal and external audits will be a priority.
Monthly safety talks with contractors will focus on general safety and proper equipment operation. Continuous improvement through improved working practices and best methods will be encouraged.
Other duties may include customer service delivery at a world-class standard and ensuring the site's cleaning strategy preserves overall housekeeping standards.
All necessary risk assessments, Safe Plans of Action, Assignment Instructions, security audits, incident reports, and method statements must be completed, adhered to at the workplace, and aligned with health and safety regulations.
Contract staff, including security, cleaning, landscaping, pest control, laundry, and waste management teams, should be fully engaged and committed to delivering exceptional service levels to visitors and clients.
