Your new roleAs an Office Manager, you will oversee the delivery of business support services within a large operational office. This includes managing a small team, ensuring smooth office operations, and providing diary and travel support to senior managers. You'll handle financial controls, maintain quality systems, coordinate projects, and act as a key liaison between management and clients. Additionally, you'll manage SLAs, KPI reporting, and ensure compliance with health and safety standards.Your responsibilitiesAccountable for the delivery of business support services across an office/depot/contractMaintaining appropriate records, ordering and financial control for Uniform/PPE, office equipmentOperate and maintain quality systemsRecord and track purchase orders and timesheet informationEnsure Health & Safety compliance is met as appropriate within the office environmentCoordination of projects within your own areaPrioritise work load and respond to frequently changing demandsMaintain e-rooms and general version control of relevant correspondenceProvide diary support and travel arrangements for senior management as requiredEnsure cost-effective meeting and catering requirements are providedAct as liaison point between the management team and customersManagement of the office in the absence of a facilities' manager to ensure maximum functionalityManage the development and performance of your own business support teamContract management of SLAs and KPI reporting, including accident statisticsEnsure continuity of work levels during business support absenceAct as point of contact and support for Senior/Executive team members when visiting the office.Manage the workload for business support teamHandle confidential information with discretion and professionalismOther duties as assigned by the senior management teamMay operate and maintain quality management systemsRaising purchase orders and ensuring invoices are processed.Liaison with the management team for the Dublin office, ensuring the office runs efficientlyWhat you'll need to succeedStrong academic background or relevant experience in a similar role.Proven experience managing and leading a business support team.Excellent organisational and planning skills with the ability to prioritise in a fast-paced environment.Proficiency in Microsoft Office and SAP.Strong communication skills and the ability to build relationships at all levels.Experience in financial control, project management, and supplier negotiation.Professional, proactive, and discreet when handling confidential information.What you'll get in returnYou'll receive a competitive salary and benefits package, along with the opportunity to work in a dynamic environment where your expertise will make a real impact.
