Unijobs on behalf of the University of Limerick are seeking a Part-Time Administrator for Hospital Kilkenny. The rate of pay is starting at €18.59 per hour. This position is a 0.5FTE post (17.5 hours per week and can be completed across 4 or 5 days per week on site in Hospital, Kilkenny.) Morning or afternoons will be considered. The successful candidate will play a key role in ensuring the smooth day-to-day operations of a busy office environment. Key Responsibilities: The appointee will have responsibility for the frontline administrative support to students and staff of the School of Medicine (SoM) BMBS Programme. The duties will include but are not limited to: Working as part of the School's Clinical Academic Liaison (CAL) team, the post-holder will be responsible for ensuring the provision of a high-quality service in the support of all academic activities for students in the relevant discipline, including teaching, assessment, and events. Provide high level administrative support for all annual planning tasks in advance of the academic year. Liaise with UL clinical tutors and HSE staff within the hospital in preparation for the delivery of teaching sessions to students including timetabling, room bookings and updating student online schedules. Provide high level administrative support in the transitioning and orientation of students to clinical placement including meeting School of Medicine (SoM) students on arrival on clinical hospital site at the commencement of Semester 1 and orientating them to the hospital environment and introducing them to key hospital personnel. Provide front-line support to students on an ongoing basis and assist them with any queries relating to their clinical placement. Provide administrative support to UL teaching staff in relation to scheduling a variety of activities including video conferencing and tutorials for medical students. Provide high quality administrative support to the Clinical Academic Liaison Manager and Clinical Academic Liaison Officer. Maintain the generic School email accounts by responding appropriately and/or redirecting queries as necessary. Provide first-line support to Faculty members as required. Liaise with students / faculty / staff via various communication platforms e.g. Brightspace, SharePoint as required. Provide support for a wide range of activities to include workshops, conferences, assessments, and open evenings as required. Manage sensitive student records including assessment, immunization and student vetting records ensuring their confidentiality. Upload lecture notes and other course materials to the school's virtual learning environment (Brightspace or equivalent) for distribution to students. Provide high quality administrative support and co-ordination to assigned SoM activities and the BMBS programme. Support the School in the delivery of quality objectives. Additionally, the postholder will work as part of the school team to support all other administrative activities carried out within the school as and when required to do so. As the School of Medicine continues to expand and evolve, it is likely that flexibility regarding the allocation of specific duties will be necessary.
