Job Description
We are seeking a skilled Maintenance and Facilities Coordinator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of our nationwide facilities, providing administrative support to our retail stores, distribution centres, and facilities & maintenance team.
Key Responsibilities:
* Provide exceptional customer service at our front desk, greeting visitors and directing calls accordingly
* Manage the intake of all deliveries, direct them to the relevant department, and ensure timely completion of tasks
* Coordinate with suppliers to arrange for stationery, ink, uniform, and safety equipment orders across all departments
* Arrange travel requests, book meeting rooms, and work closely with the accounts department to process invoices
* Record and report all store maintenance and facilities requests, as well as coordinate with third-party companies on existing and upcoming works required in all facilities
* Evaluate health and safety protocols, approve invoices related to works carried out, and liaise with the accounts department to ensure timely payment to suppliers
* Schedule waste bin ordering and painters/window cleaners across locations, handle CU group and G4S requests, and arrange for hoist hires for jobs
Required Skills and Qualifications:
* Exceptional communication skills
* Excellent administrative and organisational skills
* Proficient Microsoft Office user with ability to learn in-house systems
* Ability to use initiative, escalate issues to senior management when necessary
* Reporting and expense management experience
* Fully Irish driving licence preferred
