The successful candidate will work within the Operations team for the School of Physiotherapy RCSI, providing operational delivery focused support to undergraduate, postgraduate and research programmes, Practice Education Team and broader School activities. The post would suit an enthusiastic and self-motivated administrator who is experienced in operational delivery and is seeking to commence or further their career in the education sector. The ability to work independently and as part of a collaborative team is essential. The role holder will operate in a busy environment and will be required to manage their workload, competing priorities within agreed timelines. To provide effective, efficient, and professional services it is expected that the successful candidate be flexible and possess excellent organisational, communication and stakeholder management skills. Job Responsibilities Provide administrative assistance to the School Executive team to support the effective delivery of the school's academic programmes. Co-ordinate and provide end-to-end centralised administrative support to the School of Physiotherapy and its associated undergraduate teaching with an emphasis on clinical placement (Practice education) support. Provision of administrative support to the schools' Practice Education Team as required. Be the primary administrator for student placements using the RCSI Software "InPlace". Training for this will be provided Preparation of student and supervisor Surveys relating to placement and preparation of survey reports. Responsible for document management relating to all student placements and associated assessments and placement records. Provision of administrative support to cross functional teams including scheduling, attending, and recording of minutes and actions arising for meetings as required. Develop strong working relationships with the School of Physiotherapy team and be the liaison between the School and RCSI support departments, students, and other internal and external stakeholders. Submitting and monitoring IT tickets for equipment, staff IT issues. Book venues and catering for meetings and courses. Monitor and respond to correspondence and ensure that incoming queries/emails are handled accurately and in a timely, courteous, and professional manner. Preparation of documents and presentations as required. Support the management of unit communications, website and social media accounts as required. Update and maintain School records and collating data for reporting purposes. Perform such other duties as may be requested from time to time. Undergo programmes of training and development as may be required from time to time. Knowledge & Experience - (Essential): Excellent organisational and administrative skills with a high level of accuracy and meticulous attention to detail Experience of providing high quality administrative support to management level Capable of working on own initiative as well as in a team environment, under time constraints, and collaboratively with others to maximise individual and team effectiveness Excellent task management skills with a proven ability in establishing courses of action to achieve project objectives and deadlines Excellent IT skills with a strong working knowledge of Moodle, and the Microsoft Office suite, in particular Word, Excel, PowerPoint, Teams, OneDrive and SharePoint. Experience of drafting documentation such as reports, presentations etc. to meet management and stakeholder needs Outstanding relationship building and stakeholder management skills Identify opportunities for improvement and implement effective solutions An ability to handle confidential information with discretion and appropriate sensitivity Learns quickly and responds effectively to changing customer needs and circumstances.
