The role
Facilities Assistant
The Facilities Assistant will be responsible for but not limited to the following typical activities:
Have an in-depth knowledge about the building and take pride and ownership of space.
Act as a point of contact for building occupants to field questions with a customer centric approach. Answer questions occupants may have including where things are located within building, and how to use furniture and equipment.
Capture and Report building and/or service issues by supporting the audit program; conducting building inspections and recording the findings.
Report when issues are found, or expectations are missed via the appropriate tools.
Re-organize furniture as needed throughout building.
Observes attentively and reports how space is being utilised including the use of furniture, micro kitchens, meeting rooms and break out areas.
Monitoring stock levels of Stationery and Consumables used by Employees; as well as mail related supplies stock; and placing orders with suppliers.
Replenish supplies/equipment as needed.
Understand primary responsibilities of Meeting and Evens and support M&E Specialist when required: Setting up in house and external events as and when required (this represents a significant share of manual handling duties).
Cover Front of House Role & Responsibilities when required.
Manage day to day mail room operation, deliveries, enquiries as required.
Be aware of basic procedures, courier suppliers and all external key contacts.
Upkeep and review of Manuals, Handbooks, Guidance notes etc.
Supports the management of meeting rooms and break out areas.
Promotes high level of satisfaction among all users and occupiers by promptly responding to their needs.
Assures prompt response by other team members and JLL service partners.
Develops a close working relationship with key client stakeholders.
Communicates in an open, honest, transparent manner always with the ability to tailor the message to specific audience and their needs.
Supports the wider JLL, and partner teams on site.
Adds value in terms of delivery, innovation, and communication.
Other tasks and duties as required within the account.
