PATIENT SERVICES DEPARTMENT in the Rotunda Hospital

Colposcopy
Specified Purpose, Full-Time
We are currently looking to hire a Grade IV to join our Patient Services team here in the Rotunda Hospital.
The successful candidate will be working alongside a team of dedicated professionals.
Under general supervision and following established policies and procedures, you will provide comprehensive administrative support to the area assigned and as directed.
The successful candidate will be required to deal effectively with requests and queries and provide clerical support in the area assigned within Patient Services.
We may create a panel of future candidates from this competition.
Based in the City Centre and on the grounds of the oldest continuously operating maternity hospital in the world, you will have the opportunity to work with colleagues across all professional disciplines and become part of the Rotunda family.
Key Responsibilities
Responsible for transcription of relevant data in the Colposcopy Clinic, to include all correspondence dictated in the area, including proof re-reading and editing of material as required.
Data input of administrative information onto Mediscan Colposcopy System to ensure that Colp1 National Report is generated.
Running of reports to enable text message software to be utilized.
General clerical duties including co-ordination of mail, faxing, photocopying, and courier service.
Provide customer service support to all patients / external agencies availing of the service.
Assist in the orientation of new staff within the area to include training on processes and technology.
Ensure Patient information and documents are continually held in safe custody and strict codes of confidentiality are observed in line with legal requirements and hospital policies.
Schedule patient appointments, to include contingency planning as necessary.
Take responsibility for the accuracy and integrity of manual and computerized data bases as entered by staff.
Have knowledge of and ensure the implementation of the National Hospital Code of Practice for Healthcare Records Management.
Process requests for information, reports for medico-legal cases, external agencies and statutory bodies in a timely manner and in keeping with the Freedom Of Information Act.
Provide regular and ad-hoc reports / information as required.
Collect and record information on hospital system for relevant hospital committees as appropriate.
Provide locum cover for colleagues in their absence and coordinate leave.
Undertake training and development activities consistent with the position.
Any other duties that may arise from time to time and are deemed appropriate to the post.
Actively contribute, participate and ensure compliance with the key areas identified in the following:
Infection prevention and control / decontamination
National Quality/Hygiene Schemes
All audits deemed necessary by the Rotunda Hospital Management Team.

Job Specification

Eligibility Criteria
(a) Eligible applicants will be those who on the closing date for the competition:
(i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act ****.
(ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish.
Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination.
(iii) Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction.
(iv) Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).
* Candidates must achieve a pass in Ordinary or Higher level papers.
A pass in a foundation level paper is not acceptable.
Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme.
The Leaving Certification Applied Programme does not fulfil the eligibility criteria.
And
(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.
Health
A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
Character
Each candidate for and any person holding the office must be of good character.
Skills, competencies and/or knowledge
Excellent organisational skills and attention to detail
Awareness / sensitivity towards patients' needs
Performs their duties in a manner which is conductive to harmonious team-based intra and inter-departmental relationships.
Excellent written and verbal communication skills
Excellent supervisory / people management skills
