EXTERNAL/INTERNAL COMPETITION Applications are invited for the following position within the Catering Department in the Rotunda Hospital Ref No: 2025/56 Clerical Officer - Catering Department Full-time (35 hours per week), Specified Purpose Contract, We are currently looking to hire a Grade III Clerical Officer to join our Catering team here in the Rotunda.Under general supervision and following established policies and procedures to provide comprehensive administrative support to the area assigned and as directed. The successful candidate will be required to deal effectively with requests and queries and provide clerical support to the Catering Department Based in the City Centre and on the grounds of the oldest continuously operating maternity hospital in the world, you will have the opportunity to work with colleagues across all professional disciplines and become part of the Rotunda family. The successful candidate will have: Excellent organisational skills and attention to detail Excellent written and verbal communication skills Proven customer service skills including telephone techniques Proven IT skills Proven team work attitude & flexibility in working schedule essential Ability to multitask and be flexible with working hours (a) Eligible applicants will be those who on the closing date for the competition: (i)Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004 Or (ii)Have obtained a pass (Grade D) in Higher or Ordinary level in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish. Or Leaving Certificate Vocational Programme or Leaving Certificate Applied. Or (iii)Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction Or (iv)Satisfactory relevant experience which encompasses demonstrable equivalent skills (v)\previous experience in a fast paced, administrative role (b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability and administrative ability), for the proper discharge of the office. Principal Duties and Responsibilities 1.Ensuring confidentiality at all times. 2.To provide a consistent, professional and positive atmosphere within the catering department. 3.Track all food safety records that are given into your care. 4.Liaising with the various areas within Catering wards, main production kitchen and staff restaurant. 5.To communicate effectively with other team members; taking and passing on messages where required and assist in the hand over where appropriate. 6.General clerical duties including filing, photocopying, scanning, HACCP record filing, creating word and excel documents, uploading rosters on TMS, assist with staff training. 7.To work flexible hours to suit the service needs of the department and to provide locum cover in the absence of staff when required. 8.To work effectively in a multi-disciplinary team and be willing to share workload when required. 9.To take responsibility for personal development, including attendance at all relevant meetings and in-house training as required. 10.Work on own initiative when required and meet deadlines. 11.Communicate any work issues to supervisor. 12.Assist in the overall smooth running of a busy service. 13.Other duties appropriate to the post/area assigned.
