This crucial role provides comprehensive secretarial and administrative support to a number of Consultants, ensuring the efficient and professional operation of their private practices and maintaining the highest standards of patient care.If you have a strong focus on detail, exceptional organisational skills, and a commitment to patient safety, we want to hear from you.Key Duties & ResponsibilitiesThe successful candidate will be responsible for managing all aspects of the Consultants' private practices, including:Practice Management: Ensuring the efficient operation of a group of Consultants' private practices, adhering to all Mater Private Network standards.Patient Liaison: Dealing with all patient interactions in an efficient, professional, and sensitive manner.Scheduling & Coordination:Managing and ensuring all clinics across multiple locations are fully booked.Scheduling patients and dealing with all referrals within set time frames.Proactively refilling all cancellation slots.Submitting all theatre bookings in a timely manner.Clinic Support: Attending Consultant clinics in Dublin and ensuring all necessary patient documentation is available.Communication & Administration:Monitoring and actioning all emails, voicemails, and text messages professionally.Answering telephones efficiently.Taking payments on behalf of the Consultants.Sending on referrals for testing and bookings as required.Completing a monthly finance report for Consultants and the hospital.Safety & Accuracy: Ensuring patient care and safety are always adhered to, and all work is carried out accurately and efficiently.IT & Systems: Proficiency in MS Word, Excel, Microsoft Outlook, iMedDoc, and the Hospital Patient Administration System.Ad Hoc Tasks: Completing other tasks as assigned from time to time.Education, Skills & Knowledge RequiredExperience: A minimum of 2 years of experience in a similar role is essential.Education: Leaving Certificate standard of education is required, with a Medical Secretary Diploma or equivalent qualification desirable.Essential Skills:Strong attention to detail and a high degree of accuracy.Excellent coordination skills and the ability to work under pressure to meet tight deadlines.Excellent interpersonal and communication skills, with a proven awareness and sensitivity towards patient needs.The ability to use initiative to enhance the Service.Flexibility with working hours to suit Consultant clinics.MATER PRIVATE NETWORK IS AN EQUAL OPPORTUNITES EMPLOYER.
