Purpose of the Role
The PMO Executive / Administrator plays a central role in supporting the efficient operation of the Project Management Office and the successful delivery of strategic projects across the FAI. This role exists to provide high-quality administrative, coordination, and reporting support, ensuring that project teams, governance forums, and senior stakeholders have the information and structures needed to deliver results effectively.
Key Responsibilities
* Provide day-to-day administrative and coordination support to the PMO and project teams.
* Maintain project documentation, registers, templates, and governance records to PMO standards.
* Organise and support project meetings, including scheduling, preparing agendas, circulating papers, and recording minutes and actions.
* Assist in tracking project progress, risks, issues, and dependencies across the portfolio.
* Update dashboards, reporting packs, and status reports to support senior leadership visibility and decision-making.
* Support project budget tracking, procurement processes, and vendor coordination where required.
* Help ensure PMO policies, processes, and quality standards are consistently followed across all projects.
* Coordinate workshop logistics, project onboarding, training sessions, and other PMO events.
* Provide general administrative support to the Head of Strategic Projects & PMO and project managers.

Experience and Qualifications
Essential:
* Experience in an administrative, coordination, project support, or PMO role.
* Strong proficiency with Microsoft Office (Excel, PowerPoint, Word) and digital collaboration tools.
* Experience maintaining structured documentation, registers, or reporting materials.
* Excellent written and verbal communication skills
Desirable:
* Experience working in a PMO, project management, or transformation environment.
* Exposure to project management methodologies (e.g., PRINCE2, Agile) or willingness to pursue certification.
* Experience supporting senior leaders or governance committees.
Skills & Professional Knowledge
* Strong organisational and administrative skills.
* Ability to manage timelines, meetings, and structured workflows.
* Understanding of project management principles and best practices.
* Ability to analyse basic data and prepare reporting materials.
