About Position
The
Business Support Specialist
plays a key role in supporting the daily financial, administrative, and operational activities of
Mapon Ireland
. The role ensures efficient coordination between the Irish branch, local partners, and Mapon HQ, maintaining accuracy and consistency across all business systems and workflows.
This position combines
hands-on financial administration, warehouse coordination, and system support
with proactive involvement in ongoing digital transformation projects — particularly the transition to
Dynamics 365 ERP
and
Moneo Warehouse Management
.

, with strong organisational skills, attention to detail, and the ability to work collaboratively across departments, including finance, sales, warehouse, HR, and support.
Key Responsibilities
Financial & Administrative Tasks
* Manage invoicing, credit notes, and adjustments for Irish clients.
* Oversee debt recovery processes in collaboration with an outsourced collection agency, maintaining clear communication with the sales team and management.
* Coordinate with HQ finance to ensure accurate payment processing and reconciliation.
* Process supplier invoices, payment settlements, and bank movements, ensuring correct data across Sage, Stripe, and Dynamics 365 ERP.
* Maintain financial records and archives, ensuring compliance with Irish accounting requirements.
* Support monthly and yearly closing procedures, VAT reporting, and financial reporting to HQ.
* Assist with payroll inputs, vouchers, receipts, and related accounting documentation.
* Maintain confidentiality of all financial, employee, and supplier information.
* Monitor shared branch email inboxes, managing purchase documentation and correspondence with vendors and clients.
* Participate in meetings related to new product or solution development, ensuring local financial alignment.
Warehouse & Operations
* Manage and coordinate warehouse operations, including order fulfilment, shipments, and deliveries to clients.
* Conduct and report regular stock checks, ensuring alignment with HQ and system records.
* Maintain daily accounting and documentation of inventory-related processes in Moneo Warehouse Management.
* Collaborate with sales and management on inventory control and stock decisions.
* Identify and implement improvements to warehouse and operational processes.
* Support the roll-out and daily use of new business systems (Dynamics 365 ERP, Moneo), ensuring staff training and process consistency.
Client & Internal Support
* Inbound Lead Registration - respond to phone calls coming into the branch (in English), register and attribute them in sales prospecting system accordingly and pass on to sales people/ account executives.
* Technicians Job Planning - Plan or assist in planning technician jobs to install hardware devices.
* Lead Qualification – Use frameworks like BANT, CHAMP, SPIN, or MEDDIC to qualify leads before handing them over to Account Executives.
* Cross-Functional Collaboration – Coordinate closely with Sales and Marketing to optimize messaging and conversion.
* Provide backup and coordination support for the client service team.
* Respond to client inquiries in English, maintaining professionalism and clear communication.
* Collaborate across teams — sales, warehouse, support, and HQ — to ensure timely and effective issue resolution.
* Maintain and update client data and documentation within Mapon CRM, SharePoint, and related systems.
* Assist the local sales team with subscription and invoicing tasks.
* Track and document customer cases or escalations, ensuring resolution and follow-up.
* Support system-related training and onboarding for team members following updates or process changes.
Human Resources & Office Administration
* Assist with HR administration, including employee onboarding and offboarding processes in coordination with HQ HR.
* Maintain employee data, attendance, and leave records using BrightHR or equivalent systems.
* Ensure payroll data and employee information are accurate and aligned with Irish accounting records.
* Coordinate local travel arrangements and logistics for team members attending HQ meetings or events.
* Keep branch-level policies, documentation, and internal procedures up to date.
* Support local compliance and communication between management and employees.
Requirements For The Role
* 2–4 years of experience in business administration, finance, or operations.
* Strong understanding of accounting principles and operational workflows.
* Proficiency or familiarity with systems such as:
* Dynamics 365 ERP
* Sage
* Stripe
* CRM Systems / HubSpot
* Moneo Warehouse Management
* BrightHR / Thesaurus Payroll
* Google Workspace, SharePoint, Outlook
* Excellent organisational and multitasking skills with a structured and proactive approach.
* High attention to detail, accuracy, and confidentiality.
* Strong communication skills — written and verbal — in English.
* Ability to work independently and collaboratively with cross-border teams.
* Experience in outbound sales, prospecting or SDR work is a plus, but not mandatory – attitude matters more than experience.
