Office ManagerThe No Name Club is seeking a highly organised, proactive, and solutions-focused Office Manager to support the smooth day-to-day operations of our national office. This role is central to ensuring effective administration, communications, financial processing support, scheduling, and coordination across the organisation.The Office Manager will work closely with the CEO and wider team to maintain strong internal systems, support governance requirements, and ensure the office operates efficiently as a hub for our clubs across Ireland.Key ResponsibilitiesOffice Operations & Administration (Primary Focus)Manage the day-to-day running of the office, ensuring organised systems and efficient workflows.Maintain accurate filing and records (digital and physical), including policies, templates, and key organisational documents.Coordinate office supplies, equipment, and general facilities needs (including liaising with landlords/contractors where required).Support the CEO with diary management, scheduling, meeting coordination, and follow-ups.Ensure internal systems are used consistently (e.g., shared drives/OneDrive/SharePoint/Teams).Communications & CoordinationAct as a central point of contact for incoming calls, emails, post, and general queries—ensuring timely responses or referral to the appropriate staff member.Coordinate communications with clubs and volunteers (e.g., circulating updates, forms, and key information).Support the planning and logistics of national events, meetings, and organisational activities (bookings, travel coordination, materials, attendance tracking).Assist with maintaining updated contact lists for clubs, volunteers, stakeholders, and partners.Finance Support & Record ManagementSupport the organisation's financial administration by processing invoices, maintaining purchase records, and ensuring documentation is stored correctly.Liaise with the CEO/accountants as required to support bookkeeping processes and reporting deadlines.Track income/expense documentation and support reconciliation preparation (e.g., receipts, mileage logs, supporting documentation).Assist with grant administration support by maintaining organised records for reporting and compliance.Governance & Compliance SupportAssist with coordination of board meetings and governance documentation (agendas, minutes templates, circulation of board packs, action tracking).Support compliance-related administration, ensuring key documents and records are maintained to a high standard.Maintain an organised calendar of deadlines (returns, reporting schedules, renewals, internal review dates).Internal Collaboration & ReportingWork closely with the CEO and staff team to support operational priorities and improve internal systems.Maintain clear records of tasks, schedules, and actions, and prepare updates as required.Support continuous improvement by identifying ways to streamline processes and reduce administrative burden across the organisation.Other DutiesAssist with preparing materials for outreach, training, and events where required.Occasional travel within Ireland may be required for national events or meetings (with prior approval).RequirementsDemonstrable experience in office administration, operations, or office management.Strong organisational skills and attention to detail, with the ability to manage multiple priorities.Confident communicator with strong interpersonal skills and a professional phone/email manner.High proficiency in Microsoft Office (Word, PowerPoint, Excel, Teams, Outlook).Ability to learn and use digital platforms (e.g., OneDrive, SharePoint, CRM systems, or similar).Strong record-keeping and document management skills.Ability to work independently, take initiative, and problem-solve effectively.Discretion and professionalism when handling sensitive information.DesirableExperience supporting finance administration (invoicing, receipts, basic bookkeeping processes).Experience working in a volunteer-led or non-profit organisation.Familiarity with governance processes (board packs, minutes, action logs).Experience supporting events administration and logistics.Major award at NFQ Level 6 or higher (or equivalent) is desirable but not essential.Working HoursPart-time or full-time (hours to be confirmed).Primarily office-based, with flexibility as required for organisational needs.Some evening/weekend availability may occasionally be required around national events or deadlines.Why Join Us?Contribute to a purpose-driven organisation empowering young people across Ireland.Work in a supportive, collaborative environment with a passionate team.Flexible working conditions.Application InstructionsSelected candidates will be invited for interview.Please insert "Office Manager" in the subject line of your application email.Applications should be sent to Job Types: Full-time, Part-timePay: From €35,000.00 per yearBenefits:Gym membershipOn-site gymOn-site parkingWork Location: In person
