We are seeking a detail-orientated and proactive site administrator to join our team in Kerry.Key ResponsibilitiesProcurement & Order ProcessingProcess purchase orders, requisitions, and proof of delivery (dockets) through the company ERP system (e.g., IFS).Ensure all deliveries are verified, recorded accurately, and matched with corresponding POs and job numbers.Liaise with procurement and suppliers to confirm order quantities and delivery schedules.Notify suppliers and Accounts Payable of any delivery discrepancies, damages, or credit note requirements.Commercial & Financial SupportAssist the Commercial team with correspondence, document submissions, and cost reporting in line with the project's commercial calendar.Coordinate weekly timesheets, lodge bookings, and payroll submissions; liaise with Site Foremen and HR for adjustments or absences.Validate data accuracy before submission to the Finance department.Assist with invoice and plant hire queries, acting as the point of contact between site, Accounts Payable, and the Plant department.Documentation & ComplianceMaintain accurate and up-to-date records in line with the company's management systems.Support the implementation of HSQE procedures by assisting with documentation, environmental records (e.g., muckaway dockets), and compliance tracking.Ensure correct documentation is available for supplier and subcontractor setup and approval.Upload and control Goods Received Notes (GRNs) and maintain related reports.Reporting & CoordinationSupport data collection and reporting to internal departments (Finance, Commercial, HSQE, and Procurement).Maintain allocation and daily records reports; circulate updated information to relevant teams.Assist in preparing site reports and ensure compliance with reporting deadlines.Provide administrative assistance during site pre-planning and ongoing project activities.Office & Site AdministrationCoordinate site inductions, staff accommodation lists, and HR documentation requirements.Maintain clear communication between site teams, Head Office, and client representatives.Support the smooth running of the site office by ensuring documentation, correspondence, and filing systems are maintained efficiently.Experience & QualificationsMinimum Leaving Certificate (Ordinary Level) or equivalent.Strong written and verbal communication skills in English.Excellent telephone manner and ability to build professional relationships.Proficient in Microsoft Excel, Word, and PowerPoint (including VLOOKUPs, Pivot Tables).Experience with ERP systems (e.g., IFS, SAP, or equivalent).Previous experience in a construction site office or project administration role.High attention to detail and strong organizational skills.Full, clean Irish/EU driving licence and flexibility to travel between sitesJob Types: Full-time, PermanentPay: €28,800.87-€44,343.07 per yearWork Location: In person
