Applications are invited for the position of Course Administrator in the Diploma Centre for a two year fixed term contract. This role would suit an enthusiastic candidate who has a high level of administration skills, customer service skills and expertise in database systems. Due to the nature of the work, the diploma centre demands an ability to work well under pressure, good time management and organisational skills and a willingness to work flexible hours (occasional Saturday and evening work will be required).
The job will also require general administrative duties as may be assigned from time to time in relation to all aspects of course delivery. The successful applicant will also deal with enquiries from members of the profession and public regarding diploma courses and assist with recruitment and enquiries from lecturers.
Main duties and key responsibilities
The successful candidate will carry out the following duties in line with the Society’s standards and strategic objectives and as directed by the Head of Diplomas:
- Support course leaders in a full range of administrative activities Work with course leaders to prepare a range of documentation for Diploma Centre programmes (timetables, faculty booklets, course handbooks);
- Welcome students onsite and online for each session;
- Liaise with the IT department regarding issues relating to course delivery;
- Process payments for lecturers and tutors;
- Update the virtual learning environment (Moodle) for courses on a weekly basis;
- Answer a high volume of student queries by email and phone;
- Assist with the course assessments;
- Assist with other projects that arise from time-to-time and other ad-hoc duties as they arise.
Knowledge and skills
- Ability to work autonomously and in teams.
- Excellent IT skills - demonstrable proficiency in using database and spreadsheet systems including Microsoft 365, Word, Excel, PowerPoint.
- Highly organised and efficient with a strong emphasis on attention to detail.
- Ability to prioritise and manage multiple tasks.
- Strong interpersonal communication skills.
- Knowledge of third level/professional education systems desirable.
Education
- Third level qualification or equivalent (preferred).
