Responsibilities
1. Transportation & Freight Management
This is the "movement" side of the job. You aren't just booking trucks; you're optimizing the entire flow of goods.
* Carrier Selection:
Negotiating rates and service terms with shipping companies, freight forwarders, and couriers.
* Route Optimization:
Planning the most cost-effective and timely routes to minimize delays and fuel costs.
* Documentation:
Preparing and managing critical paperwork like Bills of Lading (BOL), commercial invoices, and customs documents for international trade.
* Inventory & Warehouse Oversight
A coordinator needs to know exactly what is on the shelves to prevent bottlenecks.
* Stock Monitoring:
Tracking inventory levels to ensure supply meets demand without overstocking (which ties up cash).
* Warehouse Liaison:
Coordinating with warehouse staff to ensure orders are picked, packed, and ready for the scheduled pickup.
* Loss Prevention:
Investigating discrepancies in inventory or reported damages during transit.
* Communication & Relationship Management
You are the primary point of contact for multiple stakeholders.
* Vendor Relations:
Maintaining strong ties with suppliers to ensure timely production and dispatch.
* Customer Service:
Providing tracking updates to clients and proactively managing expectations when delays (inevitably) occur.
* Internal Collaboration:
Working with the Sales and Finance departments to align shipping schedules with revenue goals and budgets.
* Compliance & Data Analysis
The "behind the scenes" work that keeps the company out of trouble.
* Regulatory Compliance:
Ensuring all shipments adhere to local and international laws (e.g., DOT regulations or hazardous materials handling).
* KPI Tracking:
Monitoring metrics like
On-Time Delivery (OTD)
, freight costs as a percentage of sales, and order cycle times.
* Process Improvement:
Identifying "pain points" in the supply chain and suggesting software or workflow changes to fix them.
