Facilities Assistant
As a Facilities Assistant, you will be responsible for maintaining a safe and efficient working environment, serving as the main point of contact for building occupants, and supporting meeting and event coordination.
Responsibilities
Maintain in-depth knowledge of building layout and take pride and ownership of space.
Serve as point of contact for building occupants, fielding questions and providing a customer-centric approach.
Answer occupant inquiries regarding location of items, use of furniture and equipment.
Conduct building inspections, record findings and report issues via appropriate tools.
Re-organize furniture as needed throughout the building.
Observe and report space utilization, including furniture, micro-kitchens, meeting rooms and break-out areas.
Monitor stock levels of stationery, consumables, and mail-room supplies, and place orders with suppliers.
Support meeting and event (M&E) responsibilities, including set-up of in-house and external events, and manual handling duties.
Cover front-of-house role and responsibilities when required.
Manage day-to-day mail-room operations, deliveries, and enquiries.
Maintain and review manuals, handbooks, guidance notes, etc.
Support management of meeting rooms and break-out areas, ensuring client satisfaction.
Communicate transparently with key client stakeholders and partner teams.
Assist with additional tasks and duties as required within the account.
