Sales Administrator (Motor Industry) Role Overview: The Sales Administrator is a vital member of the sales support team, responsible for ensuring the efficient processing of all vehicle sales. This role requires strong administrative expertise, excellent attention to detail, and a solid understanding of the motor trade. You will work closely with internal teams, customers, and external partners to ensure that all documentation and processes are completed accurately and on time. Key Responsibilities: Sales Processing & Documentation Prepare and process all new and used vehicle orders. Complete, verify, and manage sales documentation including invoices, order forms, registration forms, and finance agreements. Liaise with Revenue for vehicle registrations. Prepare comprehensive handover packs for customer deliveries. Coordination & Communication Collaborate with sales executives, sales managers, and accounts staff to support seamless sales operations. Communicate with customers regarding required documentation, delivery timelines, and order updates. Work with manufacturers and finance providers to maintain compliance and accurate records. Systems & Data Management Maintain up-to-date vehicle stock records and status updates. Input and manage data in dealership management systems. Process vehicle taxation and registration requirements. Produce regular sales and stock reports (daily, weekly, monthly). Compliance & Quality Assurance Ensure all documentation aligns with GDPR and industry compliance standards. Maintain high accuracy to avoid delays or financial discrepancies. Assist with audits and maintain adherence to internal and manufacturer procedures. Skills & Qualifications: Previous experience within the motor trade, ideally in a sales administration capacity. Proficiency with MS Office and dealership management systems. Exceptional attention to detail and organisational skills. Ability to multitask and thrive in a fast-paced environment. Strong communication skills and a collaborative working style. Familiarity with vehicle registration and finance documentation is an advantage.
