We are seeking an experienced Legal PA to provide comprehensive support to the Head of Ireland, the Head of Department (Real Estate, Ireland) and other real estate fee earners, ensuring smooth operations and high-quality service across all aspects of their work.
What You'll Do:
Diary & Email Management
* Proactively manage appointments, emails, schedules, travel, and meetings, anticipating conflicts and resolving them efficiently.
* Prepare meeting packs, itineraries, room bookings, and hospitality arrangements.
Financial Responsibility
* Support fee earners with financial performance, including billing, matter balances, working capital, and financial reporting.
* Submit expenses, clear client balances, and ensure timely invoicing.
* Liaise with clients and Finance to resolve queries and maintain accurate records.
Administrative & Matter Support
* Utilise The Cube to provide on-the-floor administrative support to Lawyers and PAs.
* Delegate tasks to Document Production, including pitch/tender documents, legal document amendments, and transcripts.
* Manage matter inception, conflict checks, engagement letters, and file closure/archive processes.
Partner & Performance Support
* Organise partner meetings, prepare agendas, documentation, and minutes.
* Support review meetings, partner promotions, and business case preparation.
Business Development & Compliance
* Assist with CRM, fee earner CVs, bids/tenders, events, and client reporting.
* Ensure compliance with firm policies, complete mandatory training, and escalate issues appropriately.
Who We're Looking For:
• Minimum of three years' experience (or equivalent) in a comparable environment at an appropriate level.
• Confident stakeholder manager, with proven experience engaging with internal and external stakeholders at all levels.
• Excellent verbal and written communication skills, with accurate use of grammar and punctuation.
• Strong organisational and multitasking skills, with the ability to work in a fast-paced, international environment.
• Ability to handle confidential and sensitive information with discretion.
• Dynamic problem-solver, capable of finding creative, commercial, and pragmatic solutions where required.
• Proficient in Microsoft office suite.
• Able to work effectively both independently and collaboratively as part of a team
