Alliance Medical are recruiting a Senior Medical Administrator to join our team in our centre located in Alliance Medical, Consultants Private Clinic, Wilton, Cork.

This role offers a Full-time, Permanent contract and the successful candidate will be required to work 37.5 hrs per week.

Shift patterns would be four days per week with start times of 7.30am -5.30pm (3days) and 1 day of 7:30-5pm.

There is no onsite parking but there is a park and ride service with collection times every 10mins. There is also a Park and walk car park in Highfield Rigby club where staff can park and walk to the grounds of CUH (4min walk), Staff utilising these services must have a CUH Staff sticker displayed on their car.

This role will suit an individual who is enthusiastic and thrives in a fast-paced environment where accuracy is key.

The successful candidate will be involved in

* supporting the Administration Supervisor with duties and tasks as appropriate.
* providing the Department with essential administration and all secretarial support, thereby enabling

them to meet customer and client expectations.

* providing professional customer service at all times as the first point of contact.
* ensuring that all administrative and secretarial process and procedures are being completed as per

department processes so that Clinical staff can concentrate on their role and responsibilities.

Key Duties:

* Reception duties - Making and receiving calls, following up on voicemail, taking messages, sending faxes and scanning documentation.
* Dealing with all queries in a professional, friendly and efficient manner. Act as a point of escalation for other administrators on the team for general administration queries.
* To schedule and confirm Radiology bookings for the department/unit.
* Adherence to departmental processes and procedures to ensure an efficient workflow. They will use their experience to suggest improvements and efficiencies for the benefit of patients and workflow.
* To maintain effective filing and archiving of all departmental records.
* Greeting all patients and visitors as they arrive, directing and guiding patients to complete required documentation.
* To maintain good professional relations and provide service excellence to other hospital staff, consultants, patients and visitors.
* To be familiar with the Health and Safety policies, data protection and fire regulations of the hospital.
* The safe keeping and destruction of confidential information and adherence to data protection legislation
* Complete Insurance forms, taking payments and handling cash.
* To be familiar with and comply with all company policies.
* Completing reports as required.
* Perform various clerical and administrative functions, such as ordering and maintaining an inventory of supplies.
* Any other duties as requested by the Unit Manager/ Clinical Specialist/ Admin Supervisor.
* To assist with training of new staff members.
* Quality checking of clinical correspondence.
* Assist the Administration Supervisor with the organisation of weekly and monthly staff meetings.
* To promote health, safety and welfare of oneself, colleagues, patients and public in all work practices.

Key Requirements:

* Experience of secretarial/administrative experience, ideally in a clinic environment.
* Experience of dealing with the public, both on the telephone and in person.
* Literacy in MS Office XP is a prerequisite.
* Ability to work in a challenging environment with changing priorities.
* Ability to multitask.
* Flexibility and adaptability.
* Strong communications skills.
* Proven organisational skills.
* Evidence of teamwork/ strong team player.
* Proactive and willing to take the initiative
* Demonstrate a positive attitude and contribute to positive working environment.
