Operations and Systems Manager
The Operations and Systems Manager will oversee smooth internal office operations and IT systems across Educate Together's programmes and services.
Key Responsibilities
Operations and Office Management
1. Manage the day-to-day operations of the national office, ensuring a productive and well-supported working environment for all staff
2. Line manage administrative staff (currently 3)
3. Oversee and develop administrative systems, internal policies and procedures
4. Manage office premises, equipment, suppliers, and logistics
Coordination of Programmes and Governance Support
5. Contribute to operational and work planning with the CEO and senior management
6. Work closely with programme leads to plan and coordinate administrative and logistical support for organisational activities and company and charity governance
7. Support cross-team collaboration and effective internal communications
8. Develop and maintain strong systems for recording and monitoring data
IT and Systems Oversight
9. Oversee the organisation's IT systems and liaise with external providers
10. Plan and implement IT projects including software rollouts, CRM development and implementation, and systems improvements
11. Ensure robust data protection and security and compliance with GDPR
12. Develop and implement national office data, privacy and AI policies
13. Support staff with training in the effective use of digital tools and systems
Person Specification
Essential
14. Minimum 3 years' experience in operations or administration management
15. Business administration, management systems or project management qualification or equivalent experience
16. Strong organisational and project management skills with attention to detail
17. Proven ability to oversee IT systems and deliver technology-focused projects
18. Capacity to develop and manage budgets and monitor expenditure closely
19. Familiarity with CRM platforms, cloud-based and learning management systems
20. Proficiency in Microsoft 365 (including strong Excel skills)
21. Understanding of GDPR compliance
22. Experience of managing staff and capacity to coordinate cross-functional teams
23. Excellent interpersonal and communication skills
24. Commitment to the values of equality, inclusion, and learner-centred education
Desirable
25. Knowledge of the education sector and experience working with schools and volunteers
26. Experience of working in the charity sector and / or membership organisations
27. Understanding of company and charities governance
28. Experience of change management and/or implementing cyber security solutions
