The Role
Our client, a global software and services provider has an excellent opportunity for an experienced Executive Assistant to join their team on a permanent basis in their Limerick HQ office. Hybrid working arrangements on offer with 2 days working from home and 3 days in the office per week.
Key Responsibilities
Manage the CEO's calendar, prioritising strategic and operational commitments.
Handle email triage and correspondence, ensuring timely responses and clear communication.
Organise meetings, prepare agendas, take minutes, and ensure follow-up actions are completed.
Arrange domestic and international travel, including itineraries, accommodation, and visas.
Draft or proofread presentations, reports, and board materials.
Communication & Liaison
* Serve as the primary point of contact between the CEO and internal/external stakeholders.
* Communicate professionally with clients, investors, and partners on the CEO’s behalf.
* Manage sensitive information with discretion and confidentiality.
Operations & Project Coordination
* Coordinate input from team leads for weekly reports, dashboards, and company updates.
* Track key initiatives and deadlines, ensuring progress visibility across the leadership team.
* Support internal processes such as expense approvals, contracts, or vendor coordination.
Strategic & Analytical Support
* Conduct background research and prepare briefing notes for client or investor meetings.
* Assist with follow-up and tracking of strategic goals or OKRs.
* Help monitor company KPIs and prepare summaries for board and management meetings.
Personal Support (Occasional)
* Manage personal appointments, travel, and key dates for the CEO.
* Handle confidential personal or administrative tasks when required.
* Other ad hoc duties as required.
Skills and Experience Required
* You will have at least 4-6 years experience as an Executive Assistant, ideally in a tech, SaaS, or data-driven company.
* Some HR administration experience would be an advantage but not essential.
* Experience supporting C-level leaders or founders.
* Proven ability to handle multiple priorities with calm efficiency.
* Exceptional organisation and time management skills.
* Strong verbal and written communication skills.
* Excellent IT skills including a high level of proficiency across the MS Office suite.
