Administrative Operations Oversight
Responsibilities:
• Manage daily admin operations across multiple offices, including real estate, workspace, logistics, assets, and procurement to ensure smooth logistics support.
• Organize admin team responsibilities, track project progress, and develop clear SOPs to ensure efficient task execution.
• Coordinate with landlords and consultants on office leasing, termination, and layout projects; plan and deliver space solutions aligned with business needs.
• Provide daily office support including office operations, IT equipment, pantry services, and office supplies; continuously improve service experience based on employee feedback.
• Manage admin budget planning and expense tracking; follow up on supplier acceptance and payment processes to enhance budget execution and mitigate internal control risks.
• Oversee daily property services provided by IFM supplier including cleaning, security, and maintenance; regularly assess service quality and drive contract improvement and service enhancement.
Required Skills and Qualifications
Familiarity with Microsoft Office applications, Outlook, Word, Excel, and PowerPoint is required. The ideal candidate will have basic data analysis capabilities and 2+ years' experience in an administration role.
The successful candidate will also possess excellent level of English and Mandarin skills, be self-organised with strong attention to detail, and have the ability to multi-task in a fast-paced environment.
A proactive approach to problem-solving and process improvement is essential, as is the ability to work well independently and in collaboration with others.
The candidate will be able to maintain internal and external stakeholder relationships and participate in event planning and coordination.

This is an on-site role, requiring the successful candidate to work 5 days per week in Dublin 2.
