Role Purpose The HR Generalist will provide end-to-end HR support across the permanent employee and temporary agency worker lifecycle within a fast-paced Irish recruitment agency environment. The role requires strong working knowledge of Irish employment legislation, agency compliance obligations, and best practice HR processes, with a particular emphasis on temporary recruitment operations, employee relations, and incident and claims management. This 12-month fixed-term role will support compliance, operational delivery, and colleague experience across the business. Core Duties and Responsibilities HR Administration & Employee Lifecycle Maintain and update accurate employee records in line with Irish employment law, including contracts of employment, statements of terms, assignment details, pay or role changes, and leavers. Issue contracts, contract amendments, and assignment documentation in compliance with the Terms of Employment (Information) Acts 19942014. Prepare routine HR documentation including employment confirmations, reference letters, and assignment-related correspondence. Maintain effective filing, document control, and data entry in HR systems, ensuring GDPR compliance. Process and manage internal employee leave requests in line with Irish statutory requirements (e.g. Annual Leave, Public Holidays, Sick Leave), maintaining an accurate leave tracker. Support grievance and disciplinary processes in accordance with the Workplace Relations Commission (WRC) Code of Practice on Grievance and Disciplinary Procedures. Temporary Recruitment & Agency Compliance Provide HR Generalist support aligned to temporary recruitment operations within an agency setting. Support compliance with the Protection of Employees (Temporary Agency Work) Act 2012, including equal treatment provisions. Work closely with recruitment consultants and operations teams to ensure HR practices align with client, assignment, and legislative requirements. Colleague Support & Employee Relations Act as a first point of contact for HR queries from employees and temporary workers, providing guidance consistent with Irish employment legislation and company policy. Support managers with day-to-day employee relations matters and escalate complex or sensitive issues to the HR Director. Promote fair, consistent, and legally compliant HR practices across the organisation. Compliance, Documentation & Audit Readiness Ensure all HR documentation is completed, signed, and stored accurately in line with Irish employment legislation, agency regulations, and GDPR. Maintain accurate and audit-ready employee and temporary worker files to support inspections, client audits, and WRC reviews. Support the review and updating of HR policies, procedures, and employee handbooks in line with changes in Irish employment law. Assist with compliance obligations related to agency workers, record retention, and statutory documentation. Claims and Incident Management Maintain and update the legal tracker with all workplace incident and claim details. Support the management of workplace incidents involving employees and temporary workers, including coordination of documentation and follow-up actions. Liaise with operations, recruitment teams, insurers, and external stakeholders as required. Monitor and manage long-term absence cases, ensuring medical certificates are received in line with Irish sick leave and social welfare requirements. Maintain organised, accurate, and compliant records for all claims and incidents. Social Welfare & Statutory Leave Support Provide employees and temporary workers with accurate information on Irish social welfare and statutory supports, including: Illness Benefit Maternity, Paternity, Parents and Parents Leave Benefits Occupational Injury Benefit and related supports Guide employees to the appropriate Department of Social Protection forms, online systems, and processes. Complete employer sections of social welfare forms where required/appropriate. Ensure all guidance provided reflects current Irish legislation and Department of Social Protection requirements. Communication & Stakeholder Coordination Respond to HR-related emails and queries promptly, professionally, and confidentially. Liaise with employees, temporary workers, line managers, insurance providers, and external bodies as required. Support effective coordination between HR, recruitment, operations, and finance teams. General HR Support Support HR projects, policy updates, and organisational initiatives. Assist with HR training sessions, inductions, and compliance briefings. Provide administrative and operational support to the HR Director. Undertake additional reasonable duties consistent with the role and fixed-term nature of the contract. Skills, Knowledge & Experience Essential Proven experience in an HR Generalist role within an Irish recruitment agency or temporary workforce environment. Strong working knowledge of Irish employment legislation, including: Terms of Employment (Information) Acts Protection of Employees (Temporary Agency Work) Act 2012 Organisation of Working Time Act Unfair Dismissals Acts Employment Equality Acts Experience supporting temporary recruitment operations and agency compliance. Experience managing or supporting incident and claims processes. Excellent organisational and documentation skills with high attention to detail. Strong interpersonal and communication skills. Ability to manage sensitive and confidential information in compliance with GDPR. Knowledge of Irish social welfare systems and statutory leave administration. Desirable Experience supporting WRC inspections or audits. Experience working with high-volume temporary workforces. Proficiency in HRIS systems and Microsoft Office applications.
