Key Responsibilities
1. Provide exceptional customer service by being the primary point of contact for all facilities management-related enquiries from both clients and internal teams.
2. Coordinate and track Planned Preventive Maintenance (PPM) and reactive tasks using CAFM systems.
3. Collaborate with engineers, subcontractors and suppliers to arrange site access, secure permits and ensure timely completion of works.
4. Keep detailed and up-to-date records of completed tasks, quotations, risk assessments and compliance documentation.
5. Compile and deliver client reports, service logs and updates for monthly business reviews.
6. Monitor outstanding work orders and escalate overdue or high-priority issues as necessary.
7. Assist in sourcing and procuring parts, materials and subcontracted services.
8. Ensure all activities comply with health and safety regulations and internal operational procedures.
9. Provide support during contract mobilisations and transitions as needed.
Requirements
1. Proven experience in a facilities coordination or helpdesk role, preferably within the facilities management or engineering sectors.
2. Strong administrative and organisational abilities, with excellent attention to detail.
3. Experience with CAFM platforms (such as Elog Books or similar) is a plus.
4. Outstanding communication skills, with the ability to effectively engage with engineers, subcontractors and clients.
5. Proficient in Microsoft Office applications, including Word, Excel and Outlook.
6. Capable of managing multiple priorities in a dynamic, fast-paced environment.
7. A good understanding of health and safety practices and statutory compliance is advantageous.
