Arcadis DPS are seeking an Engineering Systems Administrator for an initial 12-month FTC assignment in East Cork. Role is on-site, 39 hour per week & reports to the Head of Engineering.
Objective Single source of truth for engineering records.
Scope of Work
Document Control & Project Handover Support
Maintain engineering document registers by site, area, discipline, and document type.
Ensure engineering documentation (including drawings, vendor manuals, datasheets, reports, and specifications) is uploaded, controlled, and maintained within the document management system.
Manage document revisions, approvals, and distribution to ensure stakeholders are working from current, approved information.
Administer document check-in/check-out processes in line with internal procedures.
Coordinate, review, and format vendor and contractor documentation to meet company standards as required.
Liaise with vendors, contractors, and internal teams to obtain missing, revised, or corrected documentation to support project delivery, handover and operational maintenance.
Support the internal teams during handover, operation and maintenance, ensuring completeness and accuracy of documentation.
Work closely with the CAD Technician to ensure alignment between document registers, drawing records, and final handover deliverables.
Accurate and complete master (as-built) document sets by site, area, discipline, and document type.
Engineering drawings maintained, updated, reviewed, and approved in line with engineering requirements.
Compliance, Standards & Governance
Support the implementation, maintenance, and ongoing improvement of document control procedures and policies.
Review, update, and manage engineering procedures, standards, and templates as required.
Provide documentation and system support for internal and external audits.
Identify documentation gaps or non-conformances and coordinate resolution with relevant stakeholders.
Engineering documentation that meets internal, contractual, and regulatory requirements.
Approved and actively used engineering standards, procedures, and compliance documentation.
Systems Administration & Tools
Provide user support for document management systems and associated engineering systems.
Perform system administration tasks such as user access management, permissions, configuration support, and system housekeeping.
Support the integrity, structure, and usability of engineering systems.
Identify opportunities for system, workflow, and template improvements and contribute to their implementation.
Work in alignment with the CAD Technician to ensure drawings and documentation systems remain integrated and current.
Reliable, accessible, and well-maintained engineering systems.
Improved system use, workflows, and user experience over time.
General Responsibilities
Participate in team, project, and stakeholder meetings as required.
Provide regular progress updates and highlight risks, gaps, or improvement opportunities related to documentation or engineering systems.
Support collaboration across internal and external parties to achieve consistent and high-quality outcomes.
