This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.Job TypeContractor with BenefitsDepartmentHuman ServicesAbout the PositionThe Office Coordinator, with a focus on facilities management, is essential in supporting the operations of the Human Services Department through the provision of administrative assistance. Responsibilities include the administration of vehicles and equipment including repair and preventative maintenance tracking, maintaining up-to-date operational policies and procedures and coordinating with vendors for the timely scheduling of deliveries and resolution of any facility-related concerns. The Office Coordinator will interact with internal staff and other County Department staff as well as external staff. Ensure coordination and compliance with supervisory guidance to uphold organizational standards and objectivesAssist in developing, updating, and maintaining critical operational documents such as Emergency Procedures, Continuity of Operation Plans (COOP), Scope of Work and Fire Drill/Evacuation Protocols and maps to ensure employee safety and regulatory complianceCoordinate the management of the organization's vehicle fleet, including scheduling regular maintenance, monitoring usage, ferrying vehicles to and from Equipment Services, and serving as the primary point of contact with Equipment ServicesManage parking logistics, including the allocation and monitoring of parking passes, authorizing parking validations, coordinate with parking vendor and maintain a current record of parking usageLiaise with external vendors or internal Facilities staff to schedule and oversee routine maintenance and repair work, ensuring facilities are well-maintained and operationalHandle all aspects of document management, including the coordination of document storage, shredding services, and the retrieval of archived documents, ensuring compliance with data protection regulationsWorking ConditionsMust possess or have the ability to obtain a valid Arizona driver's license by the time of hireMust complete background check and fingerprint identification upon hire to secure and maintain DPS Fingerprint Clearance CardPosition is primarily based in an office environment. However, this position will be required to travel to and from various county offices and locations using own vehicle, county vehicleThis position's work location is split between 234 N.
