Position: Executive Assistant (supporting Director of External Manufacturing & VP of External Quality)
We are seeking a highly professional and discreet Executive Assistant to provide comprehensive administrative support to both the Director of External Manufacturing and the Vice President of External Quality. This is a pivotal role requiring strong organisational skills, attention to detail, and the ability to work with senior stakeholders in a fast-paced environment.
Key Responsibilities
1. Diary & Calendar Management: Efficiently manage complex diaries, coordinate scheduling, and ensure alignment of priorities.
2. Travel & Expenses: Organise domestic and international travel arrangements, prepare detailed itineraries, and process travel and expense claims accurately.
3. Meeting Coordination: Arrange internal and external meetings, prepare agendas, record and distribute minutes, and follow up on action items.
4. Executive Presentations: Draft, edit, and prepare high-quality PowerPoint presentations and other executive-level materials.
5. Email & Correspondence Management: Monitor, prioritise, and manage incoming communications with professionalism and discretion.
6. Systems & Processes: Manage purchase orders and ensure accurate use of corporate and payroll systems.
7. Stakeholder Engagement: Act as a professional point of contact for internal and external senior stakeholders, handling sensitive information with confidentiality at all times.
Key Requirements
8. Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
9. Strong organisational and time-management skills with the ability to prioritise and multitask effectively.
10. Excellent communication skills, both written and verbal, with strong attention to detail.
11. Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and experience with corporate systems (., purchase order/payroll tools).
12. Ability to demonstrate discretion, confidentiality, and professionalism when handling sensitive matters.
13. Strong interpersonal skills with the ability to build trusted relationships across senior levels of the organisation.
