Offer description

We are looking for a proactive and bilingual Sales & Administrative Coordinator to support our growth in the Portuguese market.You will be responsible for managing sales inquiries, communicating with clients, providing administrative support, and ensuring smooth day-to-day operations within the Hair & Nature / Headspa Europe network.This is a hybrid role combining sales, client support, and administrative duties.Key ResponsibilitiesSales & Client CommunicationHandle inbound inquiries from Portuguese clients (salons, spas, distributors).Follow up with leads, provide product information, and guide clients through the sales process.Maintain professional and friendly communication via WhatsApp, phone, and email.Assist clients with selecting Headspa beds, equipment, and training options.Provide quotations, brochures, and product details in Portuguese.Support sales conversions by maintaining fast and clear communication.Administrative DutiesCreate and manage invoices, shipping documents, and order confirmations.Save and organise documents using the company's required naming format and structure (e.g., date/company/invoice number).Prepare transport labels (PostNL, DHL, DPD, etc.) and track shipments.Update CRM systems, spreadsheets, and internal databases.Tag and archive emails according to internal admin procedures.Assist with follow-ups on complaints, warranty cases, and support tickets.Operations & CoordinationCoordinate with the logistics team regarding shipments, returns, and transport timelines.Communicate with training educators about schedules and client bookings.Translate documents, brochures, and client messages from EN PT when needed.Assist in scheduling meetings, calls, and product demos with Portuguese clients.Required Skills & QualificationsFluent Portuguese and English (spoken and written).Strong administrative and organisational skills.Ability to manage multiple tasks with accuracy and attention to detail.Excellent communication and customer service skills.Experience with sales, customer support, or office admin preferred.Comfortable using email, WhatsApp Business, spreadsheets, invoicing tools, and CRM systems.Fast learner with a proactive, problem-solving mindset.Preferred ExperiencePrevious experience in beauty, wellness, or spa industry is an advantage.Experience with international shipping / logistics is a plus.Knowledge of Portuguese salon/spa market is beneficial.What We OfferOpportunity to grow in a fast-expanding international brand.Training on Headspa products, services, and internal systems.Flexible working environment (remote possible).A supportive and ambitious team culture.Job Type: Part-timePay: €13.50-€14.50 per hourExpected hours: 10 – 24 per weekBenefits:Work from homeWork Location: In person
