The Document Controller will manage the Project Document Management system and digital field tools, implementing the information management strategy and providing training and support to project teams and end users.
1. Manage and host information management system (IMS)/document management system (DMS) sessions for new users within the project team, either with groups or on an individual basis.
2. Act as the main point of contact for support and coaching of project users of IMS/DMS programmes, including third parties such as client teams, designers, and subcontractors.
3. Develop project file naming protocols with the information systems manager and project team, in line with DPD protocols.
4. Develop workflows alongside ISM and manage them throughout the project lifecycle, with direction from the project team, in line with Digital Project Delivery (DPD) procedures.
5. Create forms and tasks in line with DPD procedures and site requirements.
6. Configure and implement change control processes.
7. Validate, check, and curate all incoming and outgoing project documentation, including receipt, classification, verification, registry, distribution, and retrieval.
8. Configure and prepare status reports on workflows, sample submissions, TQs, RFIs, and other reportable data.
9. Prepare and configure distribution matrices in compliance with project requirements.
10. Establish and maintain central site files, uncontrolled drawings, and registers.
11. Collate operation and maintenance, health and safety, quality, environmental, and BCAR files.
12. Attend meetings to engage with team members and stakeholders.
13. Demonstrate experience working on projects with large volumes of data and information from various sources.
14. Have advanced experience with Common Data Environments and Digital Field Tools.
15. Effectively communicate with and educate stakeholders on DPD protocols, ensuring strict adherence.
16. Experience working with multidisciplinary design teams and client teams.
17. Experience dealing with subcontractors and the wider supply chain.
18. Understand naming conventions per ISO 19650.
19. Be an advanced user of Microsoft Office suite.
20. Have an understanding of BS 1192, PAS 1192, or ISO 19650 standards.
21. Be an advanced user of VFP, FV, or similar platforms.
