Role Overview
The Recruitment Administrator will support the Talent Acquisition Specialist across all stages of the recruitment lifecycle, with a particular focus on candidate administration, interview coordination, and building/maintaining high-quality candidate databases across multiple job families. This role ensures that recruitment operations run smoothly and the Recruitment Administrator plays a key role in helping us build our internal talent pipelines by maintaining an organised and up-to-date bank of candidates for recurring and hard-to-fill roles.
Agency experience is strongly preferred, as it brings familiarity with candidate management, speed, and database discipline.
Key Responsibilities
Recruitment Support & Coordination
* Coordinate between candidates, hiring managers, and the Talent Acquisition Specialist to arrange interviews.
* Manage offer letter preparation, prepare employment contracts, conduct reference checks, and process compliance documentation as required.
* Ensure timely communication with candidates throughout the process to maintain a positive candidate experience.
* Assist with drafting and posting job adverts on the ATS and other platforms.
Candidate Database & Talent Pool Management
* Develop, organise, and maintain structured candidate databases for key job profiles (e.g., Project Engineers, Project Managers, Quantity Surveyors, etc.).
* Regularly update candidate records, CVs, status notes, and availability.
* Build searchable folders/libraries for recurring roles, ensuring information is consistent, complete, and easy to navigate.
* Conduct proactive database searches and share potential candidates for upcoming roles with the Talent Acquisition Specialist.
ATS & Systems Administration
* Support candidate management through the ATS, ensuring accuracy and structure.
* Maintain relevant spreadsheets, trackers, and databases.
* Run weekly reports on active roles, pipeline status, and candidate activity.
Sourcing Assistance
* Assist with initial candidate searches on LinkedIn, job boards, and internal databases.
* Conduct first-level screening calls when required to assess basics such as availability, location, and suitability.
* Share shortlists and notes with the Talent Acquisition Specialist.
Partner & Stakeholder Support
* Liaise with hiring managers for scheduling and administrative updates.
* Maintain clear communication with external agencies, ensuring documentation and CV submission processes are controlled and consistent.
* Provide administrative support during recruitment events, career fairs, or campus initiatives.
Essential
Skills & Experience Required
* Experience in recruitment administration, resourcing, or general recruitment support.
* Strong organisational skills with the ability to maintain high-volume candidate databases.
* High attention to detail, particularly around documentation, data entry, and tracking.
* Confident using ATS tools, Excel Sheets, job boards, and recruitment platforms.
* Prior experience supporting high-volume hiring.
* Strong communication skills and ability to coordinate across multiple stakeholders.
Preferred
* Experience in a recruitment agency (admin, sourcer etc).
* Familiarity with construction or engineering recruitment
