Job Description Role Overview The Media Associate is the entry-level role within the in-house media team, supporting the team's oversight and governance of paid media campaigns executed by our Agency of Record (AOR) including but not limited to; Paid Social, Programmatic/Display, Video/CTV and Content Syndication channels.
The in-house media team owns the strategy, planning direction, and performance governance for all paid media activations.
The AOR is responsible for translating that strategy into live media plans and campaign execution.
The Media Associate plays an essential supporting role in ensuring this partnership runs efficiently — helping the team track campaign progress, coordinate agency deliverables, validate outputs against the strategy, and maintain accurate financial records.
This is a learning-intensive, detail-oriented position ideal for someone beginning their career in paid media.
You will gain hands-on exposure to enterprise B2B media strategy, agency relationship management, campaign governance workflows, and cross-functional collaboration — building the foundation to grow within the media activation team.
Key Responsibilities Campaign Tracking Support • Maintain and update campaign status trackers documenting the status of all live, launching, and ending paid media campaigns.
• Organise and file campaign briefs, approved media plans, and agency trafficking documents to ensure the team has a clear, accessible record of what was planned and approved.
• Maintain proof-of-posting archives — collecting screenshots and delivery confirmations from the agency to document that campaigns launched as planned.
• Assist in organizing campaign assets, creative files, and tagging documentation.
• Monitor key campaign milestones and flag upcoming deadlines or missing agency deliverables to the Associate Manager/ Manager.
Agency Coordination Communication • Serve as a supporting day-to-day point of contact for routine agency requests, information gathering, scheduling and document collection.
• Collect weekly / monthly campaign performance data and reporting from the agency, to support campaign performance reviews.
• Track agency deliverable timelines (media plans, reports, invoices) and send proactive reminders when deadlines are approaching.
• Support trafficking setup by preparing spreadsheets, tracking IDs, and QA checklists.
Quality Assurance Support • Support the Manager and Ad Operations team in reviewing agency campaign setup documentation against approved briefs — acting as a second set of eyes to catch discrepancies before and after launch.
• Contribute to the completion of Campaign Launch QA Checklists, verifying that targeting parameters, audience segments, creative tags, and landing page URLs align with the approved Activation Plan.
• Flag any setup issues or inconsistencies to the Associate Manager/Manager for agency follow-up and resolution.
Budget Financial Administration • Log invoices and update budget trackers as media spend is recorded, ensuring documentation stays current and accurate.
• Maintain organized files of invoices and budget documentation to support monthly reconciliation and audit readiness.
• Support budget pacing oversight by maintaining spend logs and surfacing overspend or underspend patterns to the Manager.
Cross-Functional Coordination • Track the delivery of creative assets from internal teams (Creative, ABM, Digital Experience) to the agency, flagging delays that could impact campaign launch timelines.
• Confirm that target account lists are prepared and delivered to the agency on schedule in support of ABM-targeted activations.
• Help coordinate timing and handoffs across internal stakeholders to keep campaigns launching on plan and on strategy.

• Strong organizational skills and exceptional attention to detail — comfortable working with multiple campaigns, deadlines, and documents simultaneously.
• Proficiency in Excel or Google Sheets (pivot tables, basic formulas, data organization).
• Clear and professional written and verbal communication skills, including comfortable working with external agency partners.
• Bachelor's degree in Marketing, Business, Communications, Advertising, or related field.
• Enthusiastic to develop skills in media and a desire to grow brand advertising skills Preferred • Exposure to digital advertising channels (e.g., Paid Social, Programmatic Display, Video/CTV, Content Syndication) through coursework, internship, or personal projects.
• Familiarity with how media agencies operate, including concepts like media plans, Insertion Orders, trafficking, and campaign reporting.
• Experience in a B2B marketing environment or interest in enterprise technology marketing.
• Familiarity with project management or workflow tools (e.g., Asana, Smartsheet, Workfront).
