Due to sustained project demand, they are now seeking a capable and independent Accounts & Office Assistant to join their West Cork office on an initial 6-month contract, with an excellent long-term view to permanency for the right candidate. Role Overview This is a hands-on, dual-focused position perfect for a skilled professional who enjoys variety. Sitting at the center of daily office activities, you will support the business directors by managing the day-to-day accounts functions, monitoring subcontractor safety compliance, and keeping the office running smoothly. There are no staff management responsibilities; this is an individual contributor role focused entirely on accurate execution and team support. Key Responsibilities 1. Accounts & Financial Administration Process supplier and subcontractor invoices, reconcile statements, and prepare payment runs. Issue client invoices and proactively monitor the aged debtors ledger. Maintain professional, polite, and firm credit control communication with clients to ensure timely collections. Compile weekly/monthly site timesheets, manage standard payroll calculations, and coordinate with external payroll partners. 2. Contractor & Site Compliance Track, log, and audit essential subcontractor documentation, including active insurance policies. Verify that all on-site personnel hold valid Safe Passes and relevant technical certifications before deployment. Match field receipts and subcontractor timesheets back to specific project codes to preserve tight budget control. 3. Office Management & Client Services Act as the professional face and voice of the office, handling incoming phone calls, email inquiries, and welcoming visitors. Interface seamlessly with clients and project partners, assisting with documentation queries and escalating complex issues to managers. Manage office supplies, digital and physical project files, and maintain general office organization. Candidate Profile 2-3 years of proven experience in a combined accounts and administrative position, ideally within the Irish construction, contracting, trade, or engineering sectors. Strong working knowledge of basic bookkeeping principles (Debtors, Creditors, Payroll workflows). Experience with Sage, Xero, Surf Accounts, or similar software is a distinct advantage. Familiarity with Irish site compliance requirements, specifically Safe Pass verification and contractor insurance vetting is a distinct advantage Must possess personal transport to ensure a reliable daily commute to the West Cork location. Highly proficient across the Microsoft Office Suite, particularly Excel. Exceptional attention to detail, strong communication skills, an empathetic but professional approach to credit control, and a natural ability to multitask comfortably.
