Head of Facilities Location: Dublin Contract: Permanent, Full-Time Industry: Legal / Professional Services The Head of Facilities will lead the facilities and office services function, ensuring the effective delivery of hard and soft services, compliance with health & safety, and the execution of key property-related projects.
This role requires strong strategic thinking, operational excellence, and senior stakeholder management within a professional services environment.
Key Responsibilities Leadership & Team Management Lead, manage, and develop the Facilities and Office Services team.
Set objectives, conduct performance reviews, and ensure high service standards.
Foster a culture of continuous improvement and customer service.
Facilities Operations Oversee day-to-day facilities operations including maintenance, cleaning, security, catering and office services.
Ensure proactive and reactive maintenance is delivered effectively.
Manage office layout, space planning, and small works projects.
Coordinate office moves and refurbishments.
Strategic & Capital Projects Lead major property projects including refurbishments, relocations and capital upgrades.
Work closely with senior leadership to align facilities strategy with firm-wide objectives.
Contribute to long-term space and workplace planning, including hybrid-working requirements.
Health, Safety & Compliance Ensure full compliance with Irish health & safety, fire safety and building regulations.
Maintain risk assessments, safety audits, and incident reporting processes.
Lead the firms emergency response, crisis management, and business continuity planning.
Supplier & Contract Management Manage all external suppliers and contractors, ensuring SLA performance.
Negotiate contracts and drive value for money across facilities services.
Oversee procurement and tendering processes.
Financial & Budget Management Prepare and manage the annual facilities budget (OPEX & Cap Ex).
Report on spend, variances and cost-saving initiatives.
Ensure accurate forecasting and financial planning for major projects.
Sustainability & ESG Lead environmental and sustainability initiatives (energy reduction, waste management, recycling).
Support the firms ESG objectives through responsible facilities management.
Stakeholder Management Act as the central point of contact for partners, managers, building management and landlords.
Communicate planned works, outages and essential updates to stakeholders.
Experience & Skills 8+ years experience in facilities management, ideally within a law firm, professional services or corporate environment.
Proven experience leading facilities teams and managing multi-service operations.
Strong background in capital projects, office moves and refurbishment programmes.
Excellent knowledge of building systems.
Strong contract and vendor management experience.
Deep understanding of health & safety, fire compliance and workplace regulations.
Ability to manage budgets, forecast and drive cost efficiencies.
Strong communication and stakeholder-engagement skills, including liaising with senior partners.
Qualifications Degree in Facilities Management, Property, Engineering, Business or related field (preferred).
Professional FM qualifications (IWFM or equivalent) an advantage.
Health & safety certification desirable.
Project management qualification beneficial.
