Join us as an Office Services Coordinator in our office in Limerick and help us do what we do best: propelling business forward.This position reports to the Workplace Operations Manager and is focused on the Limerick office in Ireland, as well as delivering support on other locations within the EMEA region.In this role, you will:Manage office equipment such as copiers and suppliesSet up and maintain inventories of all equipment (stationery, copiers), and liaise with requisitioners and service providers on proper delivery, handling and invoicing (using cost centers to track expenses)Manage kitchenettes and kitchen equipment and suppliesManage vending services and machines such as coffee machines, soda machines, and water taps.Take care of the interior plants and flower maintenanceMonitor delivered services to meet requirements and complianceManage daily incoming and outgoing postal services, postal service contractsManage properness of meeting, training and briefing facilities. Assist the management assistant in organizing events, being the point of contact with catering services and setting up rooms based on specific demands.Assist in organizing company events and managing holiday decorationsCoordinate the ordering and delivery of reprographic materialsMaintain good relationships with management, property managers and suppliersRespond to any service requests for office needs (products or services), special applications (furniture, nameplates) and office moves and transfersAssist in obtaining quotes and follow up with vendors, process requisitions, purchase orders, receiving and invoicing, verify cost centers and account numbers of accuracy and correct budget allocations. Follow up with vendor for timely delivery and satisfaction of requisitionerPrepare desks (dedicated desks or flex desks) to make sure the office is ready for occupancy and supply support on the locator application.Clean out offices under the direction of the Manager of that particular area and make them ready for the new occupant.Support the CSR Program of Progress which includes strategies towards environmental sustainability and Inclusion and DiversityCharge of Health & Safety compliance, issues, policies, and practicesBe the first point of contact during fit-out project onsite and operate closely with the project development manager.Your background:Excellent organizational skillsAbility to be self-managed and work independentlyStrong communication and problem-solving skillsThe ability to make balanced and timely decisions with incomplete information.Willingness to challenge yourself to utilize technology wherever appropriate to increase efficiency, improve operations, and decrease costsComfortable with computer skills: Outlook Calendar, Excel, and other internal software used to manage the facilitiesIf this sounds like you and fits your experience and career goals, we'd be happy to chat.
