Job Title: Workplace Operations Coordinator

We are seeking a highly organized and detail-oriented individual to join our team as a Workplace Operations Coordinator. In this role, you will be responsible for overseeing the day-to-day facilities-related workplace responsibilities.
Your main focus will be on building and maintaining strong relationships with clients, customers, and vendors while supporting the front desk during cover periods.
Key Responsibilities:
* Conduct daily walk-throughs to identify any faults or issues and log them in the helpdesk system.
* Track and manage all open jobs until completion.
* Coordinate the maintenance calendar, updating the IT system for maintenance, repairs, fabric works, and requirements.
* Assist with setting up meeting rooms and layouts when required.
* Build and maintain strong, positive relationships with clients, customers, and vendors to promote excellent customer service.
* Ensure all signage and artwork is on brand and compliant, removing any non-conformity.
* Undertake basic reception duties, such as booking and managing meeting rooms, welcoming and escorting visitors, hospitality, general Front of House administration, etc.
* Provide IT support, including daily checks on IT equipment and completing fixes where possible.
* Order stationery, consumables, tea, coffee, meeting room lunches, refreshments, etc.
* Set up monthly drinks and assist with other office events.
* Organize couriers, incoming/outgoing post, return leavers' IT kit to London.
* Comply with Health, Safety, and Environmental policies and audit compliance.
* Attention to detail is essential for communication to the team, stakeholders, and the business in general, including emails, signage, and poster management.
* Cover the reception during lunch and end-of-day rota, ensuring Front of House is covered at all times and arranging temps when required.
* Be the face of Workplace and the 'go-to' person for all workplace-related matters.
* Liaise with landlords regarding access permits, booking in contractors, loading bay, etc.
Hours of work: 9.30am - 6pm
