Administration Role & Responsibilities
* Data entry
o Record keeping / discharges / archiving.
o Letters typed and emailed to various Consultant Secretaries.
o Keep all excel sheets updated as per patient information / changes reported.
o Create new tables, format new SOP’s as requested by managers.
* Ordering
o Stock control / Stock Rotation
o Liaise with nursing staff / managers for stock requirements.
o Email Labs to order blood tubes / blood request forms weekly for stock room.
o Keep track of service / maintenance of equipment, or repairs as needed.
o Stationary orders to be processed as needed through IFMS.
o Monthly medical supplies and special orders/ dressings to be ordered on the 4th of each month.
* P/A duties
o Establish different group emails for meetings and sharing of information.
o Answer emails in a timely manner.
o Organise online ‘Teams’ group meetings.
o Book rooms and organise onsite meetings.
o Take minutes and distribute to attendees.
o Print / provide any handouts requested for meetings and distribute.
* Scheduling
o Record daily referrals from nursing schedules and visits.
o Prepare monthly BIU metrics before 14th of each month.
* Staff records
o Collation and submission of weekly timesheets for nursing staff.
o Keep records of training logs and update.
Any other AD-HOC duties as they arise
