JOB TITLE: Part-time FRONT OFFICE ASSISTANT
RESPONSIBLE FOR: Greeting guests according to training and allocating rooms based on established procedures.
The main duties involved in the role of a Front Office Assistant at The Address Collective are outlined below; however, this list is not exhaustive.
MAIN DUTIES:
1. Arrive promptly on duty, dressed in a full, clean, and presentable uniform following company grooming policies.
2. Maintain high standards of personal and work cleanliness and hygiene.
3. Adhere to the company's Code of Conduct.
4. Comply with regulations related to fire safety, health and safety, hygiene, customer care, and security.
5. Understand and follow responsibilities outlined in the Health and Safety Statement and Staff Handbook.
6. Check and verify the accuracy of all reception floats.
7. Keep work areas clean, safe, and tidy at all times.
8. Register guests upon arrival, using their names and following established procedures and brand standards.
9. Ensure all documentation for guest registration and checkout complies with standard procedures.
10. Be familiar with all company selling procedures and promotions.
11. Maintain awareness of hotel room availability and rates.
12. Follow all regulations concerning health and safety, guest safety, fire regulations, and emergency procedures.
13. Offer and cater to any additional guest requirements, such as dinner reservations, porter services, or information services.
14. Post charges correctly onto guest room bills.
15. Be knowledgeable about hotel facilities and amenities, such as parking and directions.
16. Communicate professionally with colleagues and guests.
17. Consistently provide high levels of customer service.
18. Provide relevant reports to departments as needed.
19. Handle reservations and respond to guest inquiries promptly and professionally.
20. Answer switchboard calls warmly and transfer calls efficiently in the absence of the switchboard operator.
21. Manage reservations, cancellations, and no-shows in line with company policies.
22. Fulfill reasonable guest requests to ensure comfort, satisfaction, and safety.
23. Conduct security checks regularly and report issues to management.
24. Report maintenance issues immediately.
25. Take messages accurately, noting all relevant details, and ensure they are delivered promptly.
26. Address guest requests and queries politely, reporting any problems to the Duty Manager.
27. Balance cash registers at the end of each shift for telephone, lounge, restaurant, bars, and reception.
28. Allocate rooms considering guest requests.
29. Verify telephone charges from meeting rooms and post to correct folios.
30. Maximize in-house sales opportunities and be aware of all sales prospects.
31. Handle foreign exchange transactions for guests.
32. Keep all monies secure at all times.
33. Participate in training and team meetings as scheduled.
34. Follow all checklist duties.
35. Handle cash in accordance with cash handling procedures.
36. Perform any other duties reasonably assigned by management or guests.
Successful candidates must be flexible throughout the week (Monday to Sunday).
