Executive Assistant/Office Manager – Dublin - 12 month fixed term contract
Lazard is currently recruiting for an Executive Assistant/Office Manager to join in supporting the Legal & Compliance team in our Dublin office. The position requires a strong team player with a mature approach that is confident, able to prioritise, organise and commit themselves fully to the role.

We'll trust you to:
Provide Legal Support -

* Committee Minutes (internal) – Preparing the Agenda for the meetings; attend and draft Minutes of Committee Meetings.
* Sub-Fund Registrations/KIID/KID Filings – Project manage foreign registrations for the Irish Funds, involving liaising with external registration service provider and translator, as well as liaising with relevant internal teams; preparing letters of comfort for filings with the Central Bank of Ireland (the Central Bank); and reviewing KIIDs/KIDs from a legal perspective.
* New Share Class Requests – Project manage the addition of new share classes into the Fund documents, involving liaising with external counsel; and maintaining a log of all requests and the status thereof.
* Assistance with the monthly factsheet production and review.
* Project manage the upload of new fund documentation to the website.
* Assisting with the initial drafting of agreements from templates, such as Non-Disclosures, Distribution Agreements, Side Letters to Agreements and Terms of Business Agreements, shareholder notices, etc.
* Manage our internal trackers and databases for various matters for example legal projects table; compliance calendar; products database; and record retention matrix.
* Quarterly Board Meetings and Ad Hoc Board Meetings - assist the external CoSec team with set-up of the virtual conference; acting as a liaison between external CoSec team and internal Lazard presenters at meeting.
* Manage and maintain filing system and records for the Legal team.
* Assist in arranging execution of various corporate documents required for the running of the funds.
* Assistance on ad hoc legal and compliance projects.

Office Management – Dublin Office

* Management of Head of Legal & Compliance and CEO's calendar, arranging calls, meetings, events etc.
* All Stationary Orders and other ancillary requirements for the Dublin Office.
* Manage the logistics for all business travel, book flights, train tickets, ground transportation where necessary, accommodation and arrange visas when required for Dublin Office.
* Office Expenses for Head of Legal & Compliance and CEO.
* Overall Office Management of the Dublin Office.
* Organise all the events for the Dublin Office.
* Organising all catering for internal meetings and if required external meals.
* Arranging of all the business dinners for when Lazard employees attend the Dublin Office for Board Meetings, Sales Meetings etc.
* Liaising with London IT for all IT requirements, issues and assistance.

You'll need to have:

* At least 2 years office administrative assistance, legal assistance is desirable but not mandatory.
* Confidence with a range of computer software including Microsoft Office, with a particular focus on Microsoft Outlook and Microsoft Excel;
* Strong administrative, organisational and planning skills;
* Strong written and verbal communication skills;
* Ability to multi-task, prioritise, meet tight deadlines and work well under pressure;
* Accuracy and a high attention to detail;
* Strong interpersonal skills and the ability to build and maintain trusted relationships across all levels;
* A high level of self-motivation, autonomy and initiative;
* Ability to hit the ground running;
* Must maintain high standards of professional and ethical conduct.
