Your New Role Our client is looking for a highly organised and proactive Facilities Coordinator to help ensure the efficient day-to-day management of one or more client sites. This role involves overseeing both scheduled and reactive maintenance activities, coordinating with engineers and subcontractors, and ensuring all work aligns with agreed service levels and performance targets. The ideal candidate will bring strong teamwork, excellent coordination skills, and a strong commitment to client satisfaction. Responsibilities
1. Serve as the primary point of contact for all facilities management-related enquiries from both clients and internal teams.
2. Coordinate and track Planned Preventive Maintenance (PPM) and reactive tasks using CAFM systems.
3. Collaborate with engineers, subcontractors, and suppliers to arrange site access, secure permits, and ensure timely completion of works.
4. Keep detailed and up-to-date records of completed tasks, quotations, risk assessments, and compliance documentation.
5. Compile and deliver client reports, service logs, and updates for monthly business reviews.
6. Monitor outstanding work orders and escalate overdue or high-priority issues as necessary.
7. Assist in sourcing and procuring parts, materials, and subcontracted services.
8. Ensure all activities comply with health and safety regulations and internal operational procedures.
9. Provide support during contract mobilisations and transitions as needed.
What You Will Need to Succeed
10. Proven experience in a facilities coordination or helpdesk role, preferably within the facilities management or engineering sectors.
11. Strong administrative and organisational abilities, with excellent attention to detail.
12. Experience with CAFM platforms (such as Elog Books or similar) is a plus.
13. Outstanding communication skills, with the ability to effectively engage with engineers, subcontractors, and clients.
14. Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
15. Capable of managing multiple priorities in a dynamic, fast-paced environment.
16. A good understanding of health and safety practices and statutory compliance is advantageous.
