Our team is committed to delivering high-quality, individualized care in a safe and welcoming environment. To achieve this goal, we are seeking an Executive Care Coordinator who will be responsible for managing electronic correspondence and communications with staff, residents, and their families.
Key Responsibilities:
* Manage appointments and calendars
* Operate the Time Management System (TMS)
* Supervise regular staff file audits
* Manage accounts within agreed company guidelines and policy to minimize the risk of bad debt
Customer Care:
* Ensure customer care, communications, queries, and invoices are handled to provide optimum quality customer service
* Ensure administrative duties of the receptionist and junior administrators are carried out in line with company procedures to maintain efficiency of operations and customer service
HR Responsibilities:
* Receive and respond to HR queries from employees
* Prepare employee correspondence and documentation
* Provide administrative support to recruitment and selection, including placing adverts, communicating vacancies, setting interviews, and preparing interview documents when requested
Payroll and Administrative Responsibilities:
* Manage payroll returns manually
* Support management of accounts payable
* Manage travel expenses and returns
* Manage reimbursements and wage accruals on a weekly or monthly basis as applicable
Receptionist Responsibilities:
* Meet and greet visitors in a pleasant and welcoming manner
* Answer all phone calls and record messages correctly
* Provide messages (written and email) for the home manager left in their office before they commence work the following morning
Requirements:
* Excellent communication and interpersonal skills
* Ability to work independently and as part of a team
* High level of organizational and time management skills
* Proficiency in Microsoft Office and other software applications
