Job Description:
We are seeking a highly experienced Administrative Professional to join our team. The successful candidate will have 5+ years of senior executive administration experience and be able to work 5 days a week on-site.
This role is ideal for individuals who possess excellent communication skills, strong IT proficiency, and the ability to multitask in a fast-paced environment.
1. Communication Management: Screen and monitor communications, including emails, invitations, letters, and respond directly or advise the Managing Director.
2. Research and Information Gathering: Conduct research as required online or via other sources.
3. Presentation Review and Editing: Review, modify, and/or summarise presentations and other documents at senior management/board level.
4. Calendar and Diary Management: Coordinate and schedule calendar, travel, and diary, including business and personal arrangements.
5. Event Management: Manage events and meetings, including set-up, location, agenda, participants, and facility arrangements.
6. Meeting Follow-up: Provide clarity and feedback on actions and outcomes of events/meetings.
7. Liaison and Communication: Serve as a liaison between the Managing Director and stakeholders, including employees and consultants as directed.
8. Recruitment: Manage recruitment for new team members.
9. Project Management: Take responsibility for projects and actions to support the Managing Director as required.
10. Collaboration: Work collaboratively with a range of internal and external colleagues and assist them in the interests of the Managing Director.
11. Instruction and Direction: Confidently relay instruction and direction from the Managing Director to direct reports and other stakeholders in a firm and respectful manner.
12. Documentation and Administration: Write and collate materials, and proofread documents.
13. Account Management: Manage accounts to a bookkeeping standard, including management of expense reports.

Requirements:
* At least 7 years of experience in a senior executive role.
* Strong IT skills, including Microsoft Office applications, Gmail, Calendar, iPhone or Android smartphone applications.
* Excellent interpersonal skills and competent at building relationships with stakeholders, including employees, consultants, investors, and board members.
* Highly organised and detail-oriented.
* Able to multitask and prioritise well even in pressurised environments.
* Excellent command of the English language, both written and spoken.
* Proactively identified and resolved problems.
* Car owner with full clean driving licence.
