Front Office Administrator


Job Summary

We have an exciting opportunity for a Front Office Administrator to join our Dublin office. The role involves providing effective administrative support for client events both inhouse and at external venues, monitoring various Brewin Dolphin info mailboxes, and handling other ad-hoc administrative tasks.

This is a full-time role requiring attendance in the office five days a week during business hours, Monday to Friday. Occasionally, work outside normal hours may be necessary to facilitate client events.


What will you do?

* Distribute internal and external posts and communications.
* Perform administrative duties such as filing, scanning, and archiving documentation.
* Prepare Mail Merge letters, electronic filing requests, and data entry.
* Assist with client events both inhouse and at external venues, which may be outside of regular hours.
* Monitor Brewin Dolphin info mailboxes and direct mails appropriately.
* Serve as Fire Warden and First Aider as designated.
* Promote continuous improvement and innovative thinking; identify and address performance shortfalls.
* Manage general office facilities, ensuring supplies are stocked.

Front of House duties include:

* Handling telephone inquiries effectively.
* Managing outgoing post, franking, DHL, and courier services.
* Coordinating meeting room bookings.
* Managing building access cards.
* Organizing lunch for inhouse meetings.

This list is not exhaustive, and additional duties may be assigned as needed.


What do you need to succeed?


Must-have

* Proven experience in a similar role, ideally within financial services.
* Relevant business administration/support qualifications.
* Strong administrative skills with excellent attention to detail.
* Ability to work independently and as part of a team.
* Good communication, organizational, and interpersonal skills.


Nice-to-have
