RCSI and Dentistry: Building on RCSI's strong heritage in dental education and training, RCSI has recently established a new undergraduate NFQ Level 8 Bachelor of Dental Surgery (BDS, Hons.), welcoming our first students in September ****.
Role Summary: We are seeking an experienced administrator to lead the School's administrative team working closely with leadership across RCSI functions to provide an excellent student facing service.
As the school operations expand and grow in the coming years, this will require the successful candidate to flexibly support the wider team as needed within a dynamic environment.
Key Duties of the Role Include: Work closely with the Head of School, and be part of the School's senior leadership team to support the school's implementation of the undergraduate dentistry and other ambitions Work closely with the Head(s) of Operations and Examinations and other key internal stakeholders to manage the operational efficiency, coordination and delivery of the programme across teaching and clinical activities.
Implementing departmental work flow structures, meetings and work schedules as required Work closely with internal key student facing departments (for example Student Services, Student Academic and Regulatory Affairs etc) to establish and operationalise working practices and processes in support of the School of Dentistry students Developing strong trust-based relationships with key healthcare, policy, regulatory and clinical stakeholders Act as the first point of contact for internal and external governance and regulatory compliance queries referring any constitutional matters to the Head of School Leading the coordination of responses on behalf of the school to regulatory and/or internal and external governing bodies Responsible for the management and professional development of the school's dedicated administration staff (1 person to date) with coordination and mentoring responsibility for Operations staff and Clinical administrative staff Ensuring fair management principles, minimising the impact of natural peaks and troughs in the workload of teams and individuals through effective forward planning, cross training, process improvements and other initiatives as appropriate Provide an environment for the team that promotes positive communication, focuses on students, encourages bonding of team members, and demonstrates flexibility Support the use, maintenance and development of key school systems as relates to the tracking and management of the student record Manage the administration team to respond to student/other queries and deal with these in a professional, timely and courteous manner Support and oversee the implementation and further development of SOPs related to all School administrative functions, in collaboration with key stakeholders Assist with general University duties when deemed necessary, including participating relevant committee meetings as required Represent the best interests of RCSI/ School of Dentistry at all times, leading by example for junior members of the team Supporting the School of dentistry leadership team with budget tracking and operational reporting Managing processes related to response to and reporting of any untoward incidents (student incidents/complaints) as appropriate The above list is not exclusive and exhaustive, and the successful applicant may be required to undertake any such duties as may be reasonably expected Will be located in the School of Dentistry's location in Sandyford.
As school operations expand in time there will be a requirement to maintain visibility across other RCSI Dentistry teaching locations Be flexible and responsive to the needs of staff and students Qualifications / Skills / Attributes The successful candidate should have the following qualifications, skills and attributes: Previous experience in a team leadership role administration role, preferably in a student facing university setting Proven record working collaboratively with others to maximise individual and team effectiveness A focus on building and maintain positive prioritising stakeholder and student relationships Tech / IT literate, ideally with experience using student record systems (Moodle, RISR, MSTeams Zoom etc.) Excellent organisational skills and the ability to demonstrate initiative and situational leadership Being flexible, adaptable and available to take on other tasks or duties as requested Ensuring confidentiality and professional integrity is upheld at all times.
