We are a boutique firm in Cork city with a new office which has opened on Dawson Street in Dublin. We are a young energetic firm with a fast paced environment. We provide services in areas such as, mainly litigation, family law, banking, employment law etc.
Position Overview
We are seeking a highly organised and detail-oriented Legal Administrator to support our legal team. The ideal candidate will be responsible for managing administrative operations, coordinating schedules, maintaining files, and ensuring the smooth day-to-day functioning of our legal practice. This role requires excellent communication skills, discretion when handling confidential information, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Administrative Support
* Provide comprehensive administrative support to Solicitorsand legal staff
* Manage calendars, schedule appointments, and coordinate meetings
* Prepare, proofread, and format legal documents, correspondence, and reports
* Maintain organized filing systems for both physical and electronic documents
* Handle incoming calls, emails, and client inquiries professionally
Document and Case Management
* Assist with document preparation, including contracts, pleadings, and discovery materials
* Organise and maintain case files and ensure all documentation is current
* Track important deadlines and court dates using case management systems
* Coordinate document production and manage document review processes
Client Relations
* Serve as a point of contact for clients and provide excellent customer service
* Manage client intake processes and maintain client databases
* Coordinate client communications and follow-up as needed
Office Coordination
* Coordinate travel arrangements and accommodations for Solicitors
* Organise meetings, conferences, and events
* Maintain office supplies and equipment
* Liaise with court personnel and counsel
Required Qualifications
* Minimum [2-5] years of experience in a legal administrative role
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
* Experience with legal practice management software (e.g., MyClient365, Cortbase, etc.)
* Excellent written and verbal communication skills
* Strong organisational and time management abilities
* Ability to handle confidential information with discretion
* Attention to detail and high level of accuracy
* Ability to work independently and as part of a team
Preferred Qualifications
* Certificate or legal studies coursework
* Experience with dictation
* Familiarity with court filing systems and procedures
* Knowledge of legal terminology and document formatting
