The role
Emerald Airlines are looking to hire an administrator to work within the Engineering and Operations Department.
Key Responsibilities will be:
Maintain and update absence records using internal systems, ensuring accurate reporting to HR.
Manage PPE and uniform distribution, stock control, compliance records, and supplier coordination within budget.
Oversee and maintain the engineering roster, ensuring adequate staffing, certification coverage, and leave management.
Coordinate apprentice onboarding and initial training requirements.
Process monthly overtime and expense submissions, ensuring approval and payroll alignment.
Raise and track purchase orders (POs), including contractor POs, and manage goods receipt (GRN) processes.
Administer contractor onboarding, hours tracking, and invoice processing.
Coordinate training records, including AMOS updates, type courses, and bond documentation.
Manage and distribute aerodrome notices and maintain operational documentation (e.g., technical logs, AOG envelopes).
Monitor departmental budgets, track spend (overtime, contractors, PPE), and prepare monthly reports for senior management.
Arrange staff travel, accommodation, and logistics for AOGs, training, and operational requirements.
Facilitate site access and escorting for visitors, contractors, and new staff.
Manage office supplies and distribution to multiple bases.
Maintain tool inventory records and engineering personnel documentation for quality assurance.
Keep up-to-date contact lists for engineering staff, contractors, and suppliers.
Compile and distribute monthly and quarterly operations updates across relevant departments.
Requirements:
Fluency in English, both written and verbal.
Previous administration / document control experience.
Excellent organisational and communication skills.
Proficiency in MS Office – Word, Excel, Outlook etc.
Demonstrated ability working well in a fast-paced environment.
Previous experience working with rostering systems, expenses, accounts, raising POs, invoicing is desirable.
Enthusiastic and flexible team player
Previous experience working in an aviation related environment is a distinct advantage.
Hold a full clean driver licence and eligible to drive a company vehicle age restricted to 21.
Ability to successfully pass 5 year background and criminal record check.
