Fine Art Shipping CoordinatorLocation: Swords, DublinJob TypeFull Time 8 hours per working day (Mon-Fri)Role OverviewMaurice Ward Ireland is seeking a Fine Art Shipping Coordinator with at least 3 years of experience in air import/export and/or customs. This role is integral to ensuring the smooth and efficient handling of high-value artwork and artifacts during transport, both locally and internationally. The successful candidate will work closely with clients, the operations team, and customs authorities to coordinate the seamless movement of fine art shipments, ensuring compliance with all regulatory requirements.KeyResponsibilitiesCoordinate the end-to-end logistics of fine art shipments, including air imports/exports, import and export customs clearance, and road transportation.Act as the main point of contact for clients (private collectors, galleries, museums) to ensure all needs are met.Prepare and review shipping documentation, including air waybills, export/import paperwork, and customs declarations, export licences etc.Liaise with customs authorities and ensure compliance with all regulations, including import/export procedures for fine art.Coordinate with internal teams (operations, drivers, and technicians) to ensure smooth execution of transport and installation.Prepare estimates for transportation, packing, crating, and customs services, providing clients with accurate timelines and costs.Maintain meticulous records of all shipments, including tracking details and documentation for customs compliance purposes.Troubleshoot any logistical issues that arise during the transportation process and provide solutions.Support the operations team with invoicing, reporting, and other administrative tasks.Candidate ProfileAt least 3 years of experience in air import/export or customs, ideally within the fine art or logistics industry.Strong knowledge of customs procedures and regulations, including familiarity with import/export documentation.Excellent communication and client management skills, with the ability to build strong relationships.Exceptional attention to detail and organisational skills, capable of managing multiple shipments and deadlines simultaneously.Proactive and self-motivated, with the ability to work independently and as part of a dynamic team.Proficiency in Microsoft Office (Word, Excel) and experience with shipping and customs software.Flexibility to work in a fast-paced, time-sensitive environment where priorities may shift.Supporting the Ops Team in anything else as is required.Desirable Skills:Previous experience in fine art logistics is highly desirable.Familiarity with international shipping regulations, including handling fragile and high-value items.Experience in liaising with museums, galleries, and private collectors.SalaryPOA
