What is the role?
The sales executive will play a key role in supporting the sales function and ensuring a seamless experience for our guests, from first enquiry through to booking confirmation.
This is a detail-oriented and guest-focused role, ideal for someone who is organised, accurate and enjoys building relationships. You will handle guest enquiries, manage bookings, support the sales team with lead follow-ups and maintain CRM and OTA listings.
The role requires excellent communication skills, strong attention to detail and a genuine passion for Ireland and for delivering exceptional customer service.
What are the key responsibilities?
Sales support & guest communication
* Manage incoming sales enquiries via email, website and third-party platforms, ensuring all are handled promptly and professionally.
* Assist with lead follow-ups and conversions, supporting the sales team in achieving sales targets.
* Prepare tailored proposals and itineraries for private and self-drive tours.
* Handle guest bookings, booking amendments, cancellations and updates accurately and efficiently.
* Deliver outstanding guest care, ensuring all pre- and post-booking communication (emails, itineraries, app information) is clear, detailed and on time.
* Provide accurate information on tours, accommodation and experiences to help guests make informed decisions.
* Arrange accommodation, activities and car hire for guests as part of the booking process, making sure every detail is accurate and perfectly matched to their itinerary.
CRM & administration
* Manage and maintain the CRM system, keeping guest records, leads and communications fully up to date.
* Monitor and respond to shared inboxes, ensuring every query is answered promptly and professionally.
* Support the sales team with data entry, reporting and follow-up on outstanding leads and payments.
* Assist in preparing travel documents, guest itineraries and travel packs.
* Ensure all information shared with guests is accurate, reflecting a high level of attention to detail.
Partnerships & OTA management
* Assist in maintaining OTA and third-party listings, ensuring rates, availability and content are accurate.
* Help manage relationships with agents, partners and suppliers through professional communication and timely follow-ups.
* Support in identifying new agent and partnership opportunities in key markets including North America, Australia, New Zealand and Europe.
Guest experience & team collaboration
* Liaise with the operations team, ensuring a smooth handover from sales to tour delivery.
* Work closely with guides and the transport team, sharing relevant guest information when required.
* Assist in resolving guest issues or complaints promptly, ensuring every guest feels valued and supported.
* Contribute ideas to improve sales processes, guest communication and operational efficiency.
Reporting, admin & marketing support
* Track and report on sales activity and conversions in line with targets.
* Support marketing efforts by providing feedback from guests and assisting with content for newsletters or social media when needed.
* Undertake general office administration and support tasks as required to ensure smooth day-to-day operations.
* Carry out any additional tasks or projects assigned by the General Manager or Company Director in line with business needs.
What we require for this role:
* At least 2 years' experience in travel, tourism or hospitality.
* A third-level qualification in tourism, business or a related field is an advantage.
* Exceptional attention to detail and accuracy, this role requires someone who takes real pride in getting things right.
* Highly organised and efficient, able to manage multiple tasks and deadlines.
* Strong written and verbal communication skills, with a friendly and professional tone.
* Excellent customer service mindset, guest satisfaction is at the heart of everything we do.
* Team player with a proactive, can-do attitude and willingness to support colleagues.
* Proficient in Microsoft Office (Outlook, Word, Excel).
* Experience using CRM systems such as HubSpot or similar is an advantage.
* Good knowledge of Ireland and enthusiasm for sharing its culture and highlights.
* Fluent spoken and written English.
