Job Summary:
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team.
The successful candidate will provide administrative and coordination support to the leadership team, ensuring seamless execution of daily tasks and projects.
Main Responsibilities:
* Bid Preparation & Proposal Coordination:
o Assist in the development, formatting, and submission of bids, tenders, and capability statements.
o Coordinate inputs from technical teams and ensure proposal documentation aligns with client and compliance requirements.
* Administrative & Document Support:
o Prepare and coordinate bids, tenders, and proposals.
o Manage company documentation and maintain accurate records, including ISO-compliant processes.
* Office & Executive Support:
o Provide day-to-day support to the Managing Director, including scheduling, communication, and presentation preparation.
o Manage office logistics, supplies, vendor liaison, and general administrative support.
* Internal Coordination:
o Support internal meetings with preparation of agendas, minutes, and follow-ups.
o Coordinate across departments to ensure timely submission of documentation.
Requirements:
* 3+ years' experience in an administrative, document control, or executive support role.
* Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
